Associate Specialist, Administration & Office Services (1st Shift) - Miami FL

Overview:

Oversee the assigned organization's administrative system and general workflows for the assigned scope.

Responsibilities:

Office Administration & Services

Oversee the day-to-day administrative operations and devise ways to streamline processes. Develop, review, and improve local administrative systems, policies, and procedures; ensure alignment to corporate policies.  Ensure the smooth and adequate flow of information within the company to facilitate other business operations.  Manage inventory of office supplies and the purchasing of new material with attention to budgetary constraints.  Conduct trend analysis reporting on office-related purchases and identify opportunity areas of cost savings. Support business units to enhance corporate image. SAP invoice processing. Support renovations of offices and ensure adherence and consistency to corporate guidelines on corporate branding as assigned. Oversee and ensure all maintenance services, repairs, and refurbishment works are following the respective local building and statutory requirements.

Office Facilities & Events Management

 Assist with office contract leases in the respective location to ensure contract renewal and best spend of money as assigned. Manage changing needs of business units to achieve optimum space utilization.  Liaise with landlord/building management team and ensure office leases, car park lots are renewed timely.  Office lease management and renovation reviews; obtain the necessary approvals. Notary Certified or ability to obtain. Arrange venues, equipment, catering, accommodation, and travel for participants arriving from various locations to ensure the smooth running of complex large events. Coordinate meetings, ensuring seamless planning, organization, and impactful communication across the organization.

EXPERIENCE

General Experience

Related working experience preferred  Preferred Experience in managing a small office independently in the absence of an Administration & Office Services  Preferred Experience with dealing with third party provided services.  Preferred Exceptional customer-facing skills. Preferred Solid knowledge of office management in terms of systems and supply. Preferred Outstanding organizational skills.  Preferred Strong interpersonal and communication skills; able to engage and communicate effectively with various stakeholders.  Preferred Strong problem-solving and analytical skills. Preferred Proficiency in Microsoft Office tools (Outlook, Word, Teams, PowerPoint, Excel).

The typical starting salary range for this position is: $35,000 - $40,000.

The actual salary offer will take into account multiple factors including skills, experience, and location.  Please note that the salary details listed in role postings reflect the base salary only, not total compensation, which includes bonus and benefits.
