Overview Gates Hudson is in search of an organized and dedicated Assistant Property Manager to enhance our team's effectiveness at one of our properties in Norfolk, VA. In this role, you will collaborate closely with the Property Manager to ensure seamless operation and management of the property, reinforcing our commitment to excellence and high standards of customer satisfaction. Responsibilities Administrative Management: Assist in managing deadlines and maintaining an effective operational calendar to ensure efficiency in property activities. Support the maintenance of office files and adherence to GHCM's operational policies and business practices. Provide comprehensive clerical support including handling correspondence, filing, typing, and preparing detailed reports. Participate in Board Meetings to support the Property Manager and prepare necessary documentation for contractor engagements. Help prepare and update regular reports and task lists for the Board of Directors, providing additional support as required by the Property Manager. Budgeting and Financial Management: Contribute to the management of the property’s budget, ensuring alignment with fiscal guidelines. Assist in managing expenditures, utilizing approved vendors, and processing financial transactions according to policy. Keep precise records of financial transactions and property expenditures. Owner/Resident Relations: Promote exceptional customer service, building positive relationships with owners, residents, and team members. Ensure fair and consistent application of property policies to maintain community standards. Respond swiftly to owner and resident inquiries and issues, ensuring high levels of satisfaction. Support the coordination of resident services within the property, effectively communicating related schedules and costs. Personnel Management: Aid in supervising property staff, ensuring compliance with deadlines and operational objectives. Help manage staff scheduling for various property functions including maintenance and customer service. Assist in the development and maintenance of staff training materials and payroll documentation. Maintenance and Facilities Management: Support regular property inspections, and coordinate necessary maintenance and repair actions. Ensure compliance with contractual obligations by overseeing contractor performance. Manage and monitor property safety and security protocols. Qualifications Proven experience (1-3 years) in property management or a similar assistant managerial role. Strong organizational, leadership, and communication skills. Comprehensive knowledge of property operations, leasing, and budget management. Familiarity with local, state, and federal regulations concerning property management. Strategic thinker with the ability to handle complex operational issues.
