Position – Assistant Manager, Events and Guest Services Facility Name – Oakland Arena and Oakland-Alameda County Coliseum Location – Oakland, CA POSITION: Assistant Manager, Events and Guest Services DEPARTMENT: Events and Guest Services REPORTS TO: Manager, Events and Guest Services FLSA STATUS: Exempt SUMMARY ASM GLOBAL, the leader in privately managed public facilities has an excellent and immediate opening for an Assistant Manager, Events and Guest Services at ASM GLOBAL Oakland Arena and Oakland-Alameda County Coliseum. The Assistant Manager, Events and Guest Services is responsible for ensuring guests, clients, and employees of the Oakland Arena and Oakland-Alameda County Coliseum receive world class service at every event. This position reports directly to the Manager, Events and Guest Services. ANNUAL SALARY RANGE $75,000.00 to $80,000.00 ESSENTIAL DUTIES AND RESPONSIBILITIES Include the following. Other duties may be assigned. < >Manages and monitors the performance and conduct of all Guest Services employees including Ushers, Ticket Takers, Event Representatives and Wardrobe staff. Manages the scheduling and deployment of event staff including Ushers, Ticket Takers, Wardrobe and Event Representatives, including both internal staff and external 3rd-Party staffing companies.Responsible for providing exceptional guest service at Oakland Arena and Oakland-Alameda County Coliseum events. Must work in a professional, cooperative, and service focused manner with both external and internal guests/clients of Oakland Arena and Oakland-Alameda County Coliseum.Responsible for the quality and accuracy of all employee logs and reports generated for the Guest Services department. Responsible for writing and communicating pre-event staff notes, briefings, instructions, and policies. Responsibilities include planning, assigning, and directing work; appraising performance; disciplining employees in conjunction with Human Resources; and addressing complaints and resolving problems. Manage Guest Services team member onboarding, communications and payroll. Manage the Rewards and Recognition Program for all in-house team members and service partners. Responsible for creating and conducting timely training for all employees as required. Prepares and distributes event documents in a timely manner. Manage equipment and uniform inventories for Guest Services department. Maintain and order all necessary supplies and materials for the department. Maintain accurate records of all Lost and Found items. Supports the Manager, Events & Guest Services in overseeing event operations at the Oakland Arena and Oakland-Alameda County Coliseum. Takes responsibility for independently managing smaller-scale events, ensuring their smooth execution. EDUCATION AND/OR EXPERIENCE < >Bachelor of Arts/Science Degree (preferred). Minimum of 2-3 years’ experience staffing/planning in a live music, entertainment or sports setting. KNOWLEDGE, SKILLS AND ABILITIES < >Ability to prioritize multiple tasks in a deadline-driven environment while maintaining a high level of accuracy and professionalism. Exhibit leadership qualities, motivate staff and lead by example. Excellent interpersonal, verbal and written communications skills with the ability to communicate effectively and to convey instructions or information to all levels and stakeholders Maintain good working relations with employees, guests, clients, and service providers. Effectively manage high stakes situations and work under pressure without loss of composure. Interact effectively and professionally with guests, clients, and employees. A good understanding of guest services/events supporting roles in a sports, entertainment or convention setting. Ability to create, implement and present training materials and programs to all Oakland Arena and Oakland-Alameda County Coliseum employees. Follow all policies/procedures, risk management, safety precautions, rules, regulations, and emergency procedures established at the facility. Work according to established standards and procedures set by ASM Global leaders, and lead by example. Stand for long hours during events. Kneel, stoop, reach, crawl and climb to high walkways. Lift and/or move up to 30-50 pounds up to 10 minutes at a time. Perform work through repetitive eye/hand coordination. Able to balance and have good manual dexterity. Work inside and outside of buildings. Experience exposure to adverse conditions such as weather and loud noises. COMPUTER SKILLS < >To perform this job successfully, an individual should have basic computer knowledge and the ability to operate Windows, Word, Excel, Outlook, and other standard office equipment. Experience or ability to learn ABI Mastermind scheduling program, Ticketmaster system, AXS system and Air table. HOURS OF WORK AND TRAVEL REQUIREMENTS < >Must have the ability to work irregular hours including nights, weekends, and holidays in addition to normal business hours.
