Athletics Coordinator for Youth and Adult Soccer

Hiring Range is $51,237 to $59,208 annually based on qualifications, education and experience as it relates to the position.
Position Summary:
Under the supervision of the Sports Dome Manager, this position is responsible for the planning, organizing, scheduling, promoting and supervision of a variety of programs and special events for youth and adult soccer. The Athletics Coordinator is responsible for programs at the facility, and may be assigned to work in other areas and special events within or outside of the Department. This position requires working evenings, holidays and weekends. This position assists in general supervision of the facility and may substitute for the Sports Dome Manager in their absence and assume all duties, as needed. Performs duties in a manner consistent with the stated values of the organization.
Essential Duties:
+ Coordinates the day-to-day Athletics programs and facility operations to ensure a high level of customer service, staff productivity, and general policy enforcement.
+ Coordinates and leads a variety of programs for various ages and skill levels in the areas of leagues, tournaments, special events, clinics, camps and rentals to meet the recreational needs of the community. Assists in the scheduling of programs and determines appropriate number and nature of programs.
+ Prepares the catalog of sports classes, schedules programs in the facilities, and assigns instructors and aids to classes. Reviews and notifies instructors of class enrollment and scheduling.
+ Hires, trains, schedules, supervises and evaluates assigned staff. Provides or coordinates staff training. Provides constructive and timely performance evaluations. Works with employees to correct deficiencies.
+ Assists with scheduling of staff for all assigned facility activities. Provides backup support as needed. Reviews and approves employee biweekly timesheets. Works with Payroll Department to resolve any pay issues.
+ Monitors application of POS system for registration purposes. Evaluates and provides feedback for any enhancements to the process. Monitors external scheduling via Team Sideline and registration sites and provides data and feedback.
+ Develops schedules for league play, makes sure games and programs are properly supervised, and determines the appropriate number and nature of programs, for both games and officials.
+ Conducts team/manager meetings prior to the start of each season. Strictly enforces the District’s Code of Conduct related to the behavior of each athlete/participant.
+ Provides or ensures general security at facilities and programs under his/her direct supervision including proper control and issuance of keys and equipment.
+ Trains and orients new staff members to the District's athletics programs and environment(s) including an emphasis on safety; opening and closing procedures; proper storage of equipment and supplies; and general facility rules.
+ Assists in supervising the facility’s operations. Resolves issues pertaining to changing staffing needs, equipment maintenance and repairs, and/or other urgent needs at assigned facilities. Fills in for the Facility Manager (Sports Complex) or the Athletics Program Supervisor (Sports Dome) in their absence.
+ Oversees collection and handling of all monies for programs and activities and ensures that monies are collected and handled according to District policy. Maintains all financial records and performs reporting.
+ Assists with the preparation and monitoring of the budget, managing revenues and expenditures and preparing financial reports. Prepares purchase orders, RFPs, and invoice requests. Collects and records payments/fees for programs and outstanding balances. Prepares short and long-range revenue/expenditure projections, checks revenue streams through POS etc. Develops and recommends program related costs, fees, and locations.
+ Assists with the development, implementation, and tracking of marketing strategies to notify the public of District events. Works with Communications staff to promote community awareness of athletics programs through press releases, news stories, fliers, and meetings with the general public. Evaluates customer satisfaction. Solicits sponsors and donations for programs and special events as assigned.
+ Maintains records and makes periodic reports including daily maintenance records, attendance reports, program reports, staff evaluations, incident/accident reports, and inventory logs according to District procedures in a timely manner.
+ Provides a variety of general information to the public regarding parks and recreation operations and programs.
+ Recognizes emergency and dangerous situations by reacting quickly and calmly; administers first aid as needed. Completes Accident/Incident report.
+ Responds tactfully, respectfully and in a timely manner to inquiries and problems in person, through email, phone and mail by providing helpful information and explanations in-line with District policies and procedures. Thoughtfully handles confrontational or stressful interactions.
+ Develops and maintains professional relationships with District employees, vendors, various outside user groups and associations to coordinate their programs, tournaments, league play, and special events.
+ Attends and participates in professional group meetings; stays abreast of new trends and innovations in the field of recreational services.
+ Attends and participates in staff meetings, trainings, and orientations.
+ Attends work on a regular, reliable and punctual basis.
+ May be required to work evenings, weekends, and some holidays.
+ Determines community needs by evaluating programs, discipline areas, and activities. Makes recommendations for improvement and future development, and implements changes. Surveys the community regarding Athletics offerings.
+ Assists with policy enforcement and development of procedure manuals; conducts periodic meetings to provide and gather information, answer questions and respond to complaints and concerns, both internally and externally. Reviews program rules with teams and resolves any disputes in a timely manner.
+ Observes necessary precautions to assure general public safety; inspect facilities/grounds for safety and maintenance needs.

Education and/or Experience:
+ Associate's Degree in Recreation Administration, Physical Education, or related field. Bachelor’s degree preferred.
+ One (1) year experience in a similar position. Two (2) years’ experience preferred.
+ Any combination of experience, training and education that demonstrates the required knowledge, skills and abilities to perform the essential functions of the position may be considered.
Licenses, Certifications, and Other Requirements:
+ CPR, First Aid, and AED Certification or the ability to obtain within ninety (90) days of hire.
+ Official’s certification in related sports is highly recommended.
+ Certified Youth Sports Administrator (CYSA) certification preferred.
+ Must possess a valid Colorado Driver License or have the ability to obtain within six (6) months of hire and maintain an acceptable driving record.
Necessary Knowledge, Skills and Abilities:
+ General knowledge of the philosophies, objectives, practices, and systems of parks and recreation and their application as related to youth and adult sports programs and special events.
+ General knowledge of safety and emergency first aid procedures.
+ General knowledge of customer service principles and public relations.
+ General knowledge of recreation programs needs assessment and development,
+ General knowledge of operations and maintenance activities and resources associated with youth and adult sports programs and special events.
+ General knowledge of budget planning and management.
+ Skills in recruiting, training, supervising, evaluating, motivating employees.
+ Ability to resolve customer complaints and escalated problems.
+ Ability to effectively handle cash-flow and daily cash reports with accuracy and proper handling in adherence to established procedures.
+ Must have excellent communication skills, both written and oral.
+ Working knowledge of Microsoft Office software including Excel, Word, Outlook and Publisher.
+ Must be highly motivated and take direction well.
+ Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness.
+ Excellent interpersonal skills with the ability to provide outstanding customer service, establish and maintain effective working relationships, and interact with others in a professional manner.
+ Ability to work a varied schedule which may include some evenings, weekends, and holidays.
+ Knowledge of soccer, lacrosse, and flag football rules and regulations.
+ General knowledge of and ability to organize groups in a recreation setting.
+ General knowledge of facility operations including computer, cash registers, and basic custodial procedures.
+ Proven abilities in the areas of registration functions, coach and parent education, and inventory management.
Material and Equipment Used:
+ Regularly uses standard office equipment including a personal computer, phone, printer, fax machine, and copier.
+ Regularly uses a cash register, credit-card machine, and calculator.
+ This position may be required to drive a personal and/or District motor vehicle to various District and off-site facilities.
Working Environment:
+ Primarily works in a recreation center and comfortable office environment subject to continuous interruptions and background noises.
+ Occasionally works outside subject to variable weather conditions, ecosystems and landscape.
Physical Requirements:
+ Stand, walk, and sit for long periods of time.
+ Occasional physical work lifting up to 50 pounds.
+ Occasionally required to use hands and fingers to handle or feel objects, tools or controls; reach with hands and arms; and stoop, kneel, squat, climb, crouch, or crawl.
+ Frequent hand/eye coordination to operate personal computer and office equipment.
+ Vision for reading, recording and interpreting information. Vision acuity to see close-up and at a distance with the ability to adjust focus allowing a broad field of vision.
+ Speech communication and hearing to maintain clear and effective communication. Must understand and be understood.
