ATSU - Assistant Director of Advancement Services

A.T. Still University (ATSU) seeks an exempt Assistant Director of Advancement Services on the Kirksville, MO campus. This position reports to and works closely with the director to facilitate the successful execution of all aspects of advancement services, with particular emphasis on gift and fund management and donor relations.

Requirements

Major Job Duties

Gift processing and management:

Perform and document daily/weekly batch review and other regular quality assurance monitoring.Regular gift posting for online credit card and PayPal transactions.Gift processing backup to the Gift Income Coordinator.Donor relations/donor experience tasks.Generate and distribute acknowledgement letters daily and, with ITS, monitor the SharePoint flow.Maintain and generate Tribute (Honor/Memorial) program notifications.Generate DAF letters.Reporting backup/cross training (with director of advancement services).Manage the first-time donor recognition program, in coordination with the associate director of leadership and annual giving

Purchasing:

With the executive assistant, develops and routes contracts for service and equipment procurement.Facilitates advancement services-related subscription renewals.Liaison with prospective advancement services-related vendors

Business processes:

Develop standard operating procedures for new business processes and revise existing procedures as needed.Maintains the university GuideStar page.Liaison with sponsored programs relative to funding opportunity clearance

Gift processing and management:

With the executive assistant, manage endowed and non-endowed gift agreement process.With the executive assistant, manage naming agreement process and configure tracking in the CRM.Mailing list production (non-appeal)Still magazine (with the executive assistant)Healthy Investments email versionHealthy Investments hard mailing (with the executive assistant)President’s Perspective and iconnect/news list productionCGA monthly appealOthers as assigned.

Donor relations/donor experience tasks

Maintain/update acknowledgement letter templates each month and as needed and, with ITS, modify for/upload to SharePoint.News features/liaison with communications and marketing staff writer (print and electronic).Back up for giving award program management (with advancement services coordinator).Backup for Legacy monthly birthday mailing.Backup to executive assistant for hard copy birthday monthly mailing production.Manage list production for the Chancellor’s wreath mailing and coordinate with the advancement services coordinator.Manage list production for donor lists (e.g. Chancellor’s Circle), recognition wall/plaque initiatives, white coat ceremonies, and other similar recognition activities.Manage the monthly leadership stewardship activities (chancellor, presidents, deans) and coordinate with the executive assistant as indicated.Manage the delayed and non-performing pledge management (with the director of advancement services and the gift income coordinator)Generate the monthly hard copy and e-pledge reminders (with the director of advancement services and the gift income coordinator)Manage membership program logistics (print and digital) with the associate director of leadership and annual giving.Assist with student scholarship thank you process in Scholarship Universe (with executive assistant).

Reporting: Assist with the development of ad hoc data and report requests for mailings, appeals, regular alumni download, and event invitation lists, demographic analysis, key performance indicators, and other requests as needed (back up to prospect researcher, gift income coordinator, and director of advancement services). This will include:

Maintain report production schedule/calendar and SOPs (with director of advancement services).Produce, as needed, lists for mailings and events; back up to prospect researcher for regional travel and prospecting list production.Assist with producing and segmenting direct mail and email solicitation lists (with associate director of leadership and annual giving)Assist with data compilation for annual VSE report and any other benchmarking reports (with director of advancement services).Backup with creation of PowerBI and Raise dashboards for fundraising and alumni relations teams (backup to prospect researcher and director of advancement services)Back up to design and producing queries and advanced finds in the CRM to provide strategic information to inform fundraising and constituent engagement.Manage the design, create, and maintain application and business process-related documentation and operating procedures (with the director of advancement services)

Online giving platform: Backup content creator (with prospect researcher and associate director of leadership and annual giving)

CRM—record creation and maintenance: Backup to the advancement services coordinator


Commitment to learning: Stay current on industry trends through relevant and regular publication review, communicating with professional colleagues and report regularly to the advancement team as indicated.


Special information requests from University leadership (chancellor, president, deans, program chairs, Board of Trustees, department chairs): As indicated, prepare strategic information needed for donor and alumni engagement activities that are related to Advancement (backup to the prospect researcher).


Campaign preparation: Work with advancement leadership to identify prospects and deliver information to drive various campaigns (capital, comprehensive, focused).


Education/Experience

College DegreeExcellent verbal and written communication skills and demonstrated ability to articulate complex ideas clearly, accurately, and concisely.Specific and demonstrable knowledge of computer software programs such as Microsoft Office suite, including working knowledge of Excel;proficiency with internet databases, search engines, and basic Internet research.2-3 years experience.Some but not all of the experience could be acquired on the job.Experience creating, generating, and interpreting financial records and reports is desirable.Experience working in a non-profit environment, particularly in higher education is desirable.Experience working with others in a team environment is essential.Demonstrable experience and proficiency with Microsoft Office suite, especially Word and Excel, is vital.
