The Banquet Coordinator is responsible for all Banquet administration duties and to ensure proper filing and records of the department. He/She needs to work and co-ordinate closely with personals from Events Sales, Kitchen, Stewarding, Housekeeping, Security, Engineering, Concierge, Outlets and all in house staff including organizers and guests.

What will I be doing?
\nAs the Banquet Coordinator, you will be responsible for performing the following tasks to the highest standards:
\n\nHandle telephone enquiries according to Hilton standards. \nAttend Banquet Event Order (BEO) and Events Sales meetings and to communicate and disseminate all relevant information to banquet staff.\nEnsure adequate casual labours according to operation needs and to assign staff to respective functions based on preset staffing guides.\nBrief Banquet management or supervisors of any last-minute changes in the BEO.\nFully understand and ensure staff adhere to the hotel’s grooming standards.\nSupervise and coach casual labour ensuring good attendance and punctuality.\nInvolve and assist casual labour training. \nAssist the Director of Banquet and Banquet Manager/s in controlling the labor cost i.e. not exceeding the staffing guidelines and to ensure maximum productivity.\nControl par stock and the availability of all operating supplies including office supplies.\nEnsure good housekeeping and cleanliness of banquet office.\nUpdate and maintain staff notice board.\nPrepare and distribute daily events sheet and BEO for every staff and functions.\nTrack proper record of all staff including the casual staff according to the hotel and legal requirements.\nAssist at arranging transportation for outside catering for kitchen, banquet and stewarding\nAdministration of payroll procedures to ensure proper timekeeping and payment of all banquet staff.\nTo ensure strict adherence to casual labor payment procedure.\nTo take the role of a Banquet Captain when required by volume of business.\nRespond properly and professionally in any hotel emergency or safety situation.\nUnderstand relevant OH&S legislations and the implications on the operation of the department. \nEnsure that safe and healthy working practices are observed throughout service. \nReport any accidents / incidents to the Supervisor / Manager. \nEnsure that the Food & Beverage mission is established and instilled in you and all team members. \nCarry out any other reasonable duties and responsibilities as assigned. \nThe Management reserves the right to make changes to this job description at its sole discretion and without advance notice. \nWhat are we looking for?

\n\nDiploma or equivalent experience required.\nExcellent command of English language. \nMinimum of 5 years F&B experience.\nGood working knowledge of Microsoft Office.\nFamiliar with Booking Reservation and Purchasing systems.\nPrevious experience as a Hostess/Receptionist.\nHandle all administrative duties in a proficient manner to ensure a quality and timely output.\n\n\n
