Job Summary: We are seeking a detail-oriented and proactive Benefits Analyst to join our team. This exempt position is responsible for direct communication with HR Business Partners and employees via email, addressing inquiries and issues related to benefits. Additionally, the Benefits Analyst will oversee department billing through Coupa and track annual department communication initiatives. The role includes decision-making authority based on our plan design and encompasses all standard responsibilities associated with the position.
Key Responsibilities:
Direct Communication with HR Business Partners and Employees:
Serve as the primary point of contact for HR Business Partners and employees via email, addressing inquiries and issues related to benefits promptly and accurately. Provide expert guidance and support on benefit-related questions, leveraging plan design knowledge to make informed decisions. Interact with external vendors to resolve issues quickly and assess whether current processes need adjustment to enhance the employee experience.Oversight of Department Billing:
Manage and oversee all department billing activities through Coupa and wire transfer, ensuring accuracy and timely processing of invoices and payments. Review and approve billing statements, ensuring compliance with company policies and procedures. Collaborate with Finance to ensure expenses are billed appropriately. Track and record all billing to ensure payments are reasonable; investigate and resolve any discrepancies.Communication Initiatives:
Track and manage annual department communication initiatives, ensuring timely and effective dissemination of information. Coordinate with internal communications to include various vendor communications for webcasts in the company newsletter. Based on feedback from employees and HR Business Partners, suggest or update current communication to ensure consistent education of employees, reducing the need for additional questions to the benefits team.Standard Benefits Analyst Responsibilities:
Administer employee benefit programs, including health, dental, vision, life insurance, and retirement plans. Conduct benefit orientations and explain benefit policies to employees. Assist in the development and implementation of benefit policies and procedures. Analyze and evaluate benefit programs to ensure they are competitive and cost-effective. Prepare and maintain benefit records and documentation. Provide support during open enrollment periods and assist employees with benefit-related questions and issues. Collaborate with vendors and third-party administrators to resolve benefit-related issues.Qualifications:
Bachelor’s degree in Human Resources, Business Administration, or a related field. Minimum of 3 years of experience in benefits administration or a similar role. Strong knowledge of benefit plan design and administration. Excellent communication and decision-making skills. Proficiency in using billing and benefits management software, such as Coupa. Ability to handle sensitive information with confidentiality and professionalism.Preferred Skills:
Experience with digital transformation and process improvement initiatives. Familiarity with industry best practices and regulatory requirements. Strong analytical and problem-solving skills. Ability to work collaboratively in a team environment.Work Environment:
This is an exempt position, requiring the ability to work independently and make decisions with minimal supervision.
