Benefits Coordinator - Associate Services

*POSITION SUMMARY:*
To be fully engaged in providing No Harm / Quality, Customer Experience, and Stewardship by administering benefits plans for all Health First entities including but not limited to medical, dental, life and disability plans. Assist in the implementation, administration and communication of employee benefit plans. Counsel employees regarding benefit eligibility and coverage.
*PRIMARY ACCOUNTABILITIES:*
*Quality/No Harm:*
* Responsible for administration and data entry of health insurance, dental and life insurance plans.
* Administers all benefits plans in accordance with Certificates of Coverage or Summary Plan Description and makes recommendations for enhancements, changes or revisions as needed.
* Maintains a clean and safe work environment.
*Customer Experience:*
* Researches associates’ issues and concerns regarding any benefit or plan and follows up with associate until concern is resolved.
* Supports annual and semiannual open enrollments. Participates in annual benefit fairs and open enrollment sessions. Actively participates in planning, preparation, keying and providing excellent customer satisfaction.
* Provides work direction to benefits receptionist and ensures accuracy and deadlines are met for all benefit mailings.
*Stewardship:*
* Supports all benefits offered including legal plan, automobile insurance, health insurance opt out payments, flexible spending accounts, etc.
* LOA Coordinator Accountabilities
* Responsible for the administration of benefits for associates on paid and non-paid Leave of Absence. Coordinates all Leaves of Absences for all associates in accordance with the LOA policy and applicable Federal and State Laws.
* Administers all disability plans ensuring that disability claims are processed in a timely manner. Answers associate questions and concerns.
* Audits benefit deductions. Generates billing statements for associates who are on leave of absence and processes accurate payments. Follows up with associates to ensure timely payments are received.
* Administers Long Term Retirement Policy.
* Processes death claim benefits and assists the family as needed.
* PeopleSoft and Benefits Administration Accountabilities
* Works closely with HRIS analysts in troubleshooting and processing data. Prioritizes work assignments to ensure timely processing of all HRIS benefits data.
* Administers COBRA notifications through Ceridian. Audits and reconciles monthly reports for Ceridian and Health Plans.
* Prepares information for audits and accounting including Health Plans, COBRA and other benefits as assigned.
* Handles benefits administration for new hires, per diems and board of director members. Ensures timely receipt of payments and sends out invoices. Ensures compliance with life insurance elections and provides notice when evidence of insurability is required.
* Monitors compliance with insurance eligibility by following plan documents and summary plan descriptions. Follows up and communicates with associates regarding eligibility and coverage.
* Recognition and Special Event Coordinator Accountabilities
* Coordinates designs and updates benefits materials including Benefits at a Glance, Associates Press, Building a Stronger Workplace and New Hire Orientation.
* Plans associate events such as benefit fairs, benefits educational programs, etc.
* Administers Convenience benefits for all entities.
* Conducts bi-weekly new hire orientation presentation.
* Administers Tuition Reimbursement policy.
* Completes CMA Medicare reports.
* Monitors, tracks and updates monthly Life Insurance Evidence of Insurability Process and Dependent Life Insurance spreadsheets.
* Generates bi-weekly reports including Flexible Spending Accounts and Legal Plan. Generates other reports and gathers information as requested.
* Retirement Plan Accountabilities
* Administers Health First Retirement Savings Plan including new enrollments, rehires, and percentage election changes.
* Works with auditors to ensure plan audits and information for tax returns for the Retirement Saving Plan are completed on schedule. Answers auditor’s questions as needed and researches issues.
* Handles benefit administration for family status changes and job status changes. Ensures compliance with life insurance elections and provides notice when evidence of insurability is required.

*QUALIFICATIONS REQUIRED:*
* Bachelor’s degree required or CEBS certification or equivalent.
* 3 to 5 years’ benefits administration experience and/or HR relevant experience.
* Healthcare experience preferred
* Advanced knowledge regarding federal and state laws including COBRA, FMLA, ERISA.
* Applies advanced skills and relies on experience and judgment to resolve complex problems and issues.
* Minimum 5 years’ computer skills with emphasis on Microsoft Office products, database maintenance and advanced spreadsheet skills.
* Strong customer relations/interpersonal communications skills.
* Good working knowledge of basic math skills.
*PHYSICAL DEMANDS:*
* Must be able to sit, bend, stoop and work for up to eight hours at computer terminal, generally with short breaks.
* Visual acuity and eye-hand coordination to perform computer tasks.
* Ability to deliver materials, presentations and sometimes lift small equipment with or without assistance.
*MENTAL DEMANDS:*
* Ability to work in often stressful environments and communicate information to internal customers.
* Ability to juggle multiple assignments with ease and error free.
* Strong judgment and communication skills in order to deal with associates of various ages, education/mental abilities and temperaments.
* Ability to assess, interpret data and present information to individuals at varying levels within the organization.
