Benefits and Leave Specialist

JOB SUMMARY

The Benefits and Leave Specialist ensures all operational aspects of our benefit plans, including leave of absence programs, operate efficiently and effectively and comply with regulatory requirements. This role is responsible for ensuring our team members understand their benefit offerings and providing solutions to meet their needs. Additionally, this position manages the ongoing maintenance and administration of annual programs, including insurance benefits, 401(k), and leave of absence processes.

 

ESSENTIAL FUNCTIONS

Manage all day-to-day benefits operations, including responding to emails from vendors and Team Members, processing invoices, and resolving data issues. Administers the tuition reimbursement program Administers the 401(k) savings plan, including weekly deferrals and loan changes, annual audit, and 5500 filing Work with third party to administers and tracks LOA cases, ensuring compliance with federal, state, and company policies while supporting team members throughout the process. Coordinates with team members, managers, and third party to ensure timely and accurate leave documentation and return-to-work transitions. Coordinate payroll payments for team members while on leave to ensure accurate pay. Assists in organizing annual open enrollment and ensure system and communications are accurate and ready for Team Members enrollment  Works closely with benefits vendors and broker to ensure all benefits plans are operating as designed Coordinate and maintain documentation for all ADA cases. Engages in regular meetings with broker and carrier. Ensure that benefits operations comply with state and federal laws Maintain/write/update all benefits processes and documentation  Assist with the development and communication of Wellness programs Perform quality checks of benefits-related data Assist with the review and completion of all benefits agreements Apply continuous improvement philosophy to processes to improve administration, reduce cost, and increase efficiency  Perform other duties as assigned

 

QUALIFICATIONS

At least 2 years of benefits and leave administration experience, either in HR or other discipline Bachelor’s degree in HR management, business, or other related subject areas a plus Understanding of HIPAA, ERISA, COBRA, Internal Revenue Codes (as they apply to health and welfare plans), and other statutes governing employer-sponsored benefit plans. Customer service oriented with the ability to manage sensitive and confidential information appropriately Ability to quickly absorb and learn new concepts and new software programs Ability to transition between strategic big-picture and details of day-to-day operations. Strong MS Office, particularly Excel (pivot tables, lookups, complex formulas) Strong organizational and communication skills Must be detail-oriented, able to multi-task, and meet critical deadlines Team player with the ability to work with and communicate well to all levels of the organization as well as across functions
