Job Summary

Zachry Construction Corporation is seeking a Bid Coordinator for our headquarters in San Antonio, Texas. Primary responsibility will include heavy administrative coordination in putting together prequalification packages, bid forms, and competitive sealed proposals to secure construction contracts for heavy highway/civil work. Attention to detail will be critical as well as meeting stringent deadlines. The coordinator provides support to the estimating department during the bidding process for multiple projects at one time. In addition, the coordinator supports the business development department with maintaining, updating, and creating various company materials used in the pursuit of work.

Essential Functions

Review and understand the owner/client RFPs, RFQs, Invitations to Bid, and other bid documents to submit bid information correctly. Preparation of project bid packages, including completing bid forms and coordinating with various support departments to comply with bid requirements. Produce all materials to organize and submit bids (cover, tabs, and proposal delivery labels). Maintain employee resumes and project description sheets. Assist with project specific and general prequalification questionnaires. Provide general administrative support, organizing, and filing, including confidential and time-sensitive material, maintaining records and data systems. Manage new vendor registration process. Assist estimating with sub/supplier bid solicitation during bidding process. Perform other job duties as assigned. This is a deadline driven position, and flexibility is required to ensure all work is completed in a timely manner. Schedule is normal business hours Monday - Friday 8:00 am - 5:00 pm.

Required Skills & Experience

Bachelor’s degree in Business Administration, Marketing, Construction Management or a related field. 1-3 years previous experience preferred working in bid coordination and general contractor in a similar capacity. Experience with preparation of project bid packages, including completing bid forms and coordinating with various support departments to comply with bid requirements. Intermediate knowledge of Microsoft Office 365 Teams, Excel, Word, PowerPoint and Outlook and Adobe Acrobat Pro DC. Experience with Adobe InDesign is a plus. Self-starter with strong problem solving skills Strong work ethic with ability to complete tasks timely Commitment to maintaining confidentiality & data security Ability to act and operate independently with minimal daily direction from management to accomplish objectives. Ability to juggle multiple projects with strict deadlines in a changing environment. Ability to collaborate with sense of urgency. Ability to collaborate successfully with various personalities. Must be detailed oriented and self-motivated to get the job done. Must be deadline driven to ensure all work is completed in a timely manner.
