The Bids, Proposals, & Contracts Coordinator will source opportunities (RFP, RFQ, RFI, grants, etc.) and lead the preparation and submission of winning proposals. In this role, the Bids, Proposals, & Contract Coordinator will work closely with internal teams to ensure that Request for Proposals (RFPs), Request for Quotations (RFQs), and Requests for Information (RFIs) are compliant, clear, persuasive, well-written and submitted on time. The Bids, Proposals, & Contracts Coordinator will manage the proposal development process, maintain tracking systems, contribute to pricing and proposal strategy, maintain contracts, and assist in managing the end-to-end bid process.The position involves researching, writing, and producing a high volume of client-facing documentation on behalf of our company in support of our print and digital products. This role will successfully communicate and collaborate with a variety of internal stakeholders, including Sales, Digital Product leads, Editorial, and other subject matter experts, as needed.
The Bids, Proposals, & Contracts Coordinator should have strong writing skills, excellent attention to detail, and the ability to generate creative ideas while working both independently and collaboratively. The successful candidate is expected to be a self-starter and multitasker who works well under pressure and follows through on tasks. We are looking for a strong team member who leads by example and keeps the team informed of changes.
This role is highly detail-oriented and requires excellent communication, organizational, and project management skills.
Proposal Management:
Act as the central point of contact on assigned proposals while leading the coordination of bid and proposal preparation, ensuring timely submission in line with client deadlinesReview and Analyze, RFPs and RFIs to create proposal outlines and development plans and other requests to assess requirements and ensure full understandingEnsure proposals are structured, formatted, and written in accordance with client guidelinesPrepare detailed proposal plans, schedules, outlines, and compliance matrices for all phases of proposal developmentPlan winning themes, value propositions, strengths, risk reducers, and differentiated solutions to initial proposal outlineFacilitate multi-disciplined groups in brainstorming and developing solutions to key aspects of the proposal providing tactical advice and guidance with the ability to drive strategy and solutions that result in winning submissionsSolicit management reviews and approvals during proposal developmentDocumentation & Content Preparation:
Write persuasively, including executive summaries and other critical components of deliverables and/or edit sections of the proposal, ensuring clarity, consistency, and compliance with client expectationsDevelop and maintain a library of templates, content, and responses to frequently asked questionsMaintain, augment and improve library of reusable components, templates, and processes to reduce response time and improve quality on future bidsEnsure proposal documents are well-organized and visually appealing, including charts, graphs, and other visual aidsStrong aptitude for improving organization, flow, readability, completeness, and clarity of proposalsTeam Collaboration:
Facilitate communication between departments to resolve any issues that may arise during the proposal preparation processCoordinate with various internal stakeholders (sales, subject matter experts, senior management) to ensure all proposal elements are completed on timeCollaborate with internal teams (e.g., technical, legal, finance, and marketing) to gather necessary information and inputWork closely with editorial and digital products team to complete the formulation of “win strategies and themes” (considering strategic relationships, competitor intelligence, etc.) and ensure the message is articulated throughout the proposalCosting and Pricing:
Work with finance and sales to ensure proposals meet cost targets and reflect accurate pricing structuresEnsure all necessary cost and financial information is included and compliant with internal and client guidelinesQuality Control:
Review proposals for consistency, spelling/grammar, compliance, and alignment with the client’s needsEnsure all supporting documents (e.g., terms and conditions, compliance certificates) are included with the proposal submissionSubmission & Post-Submission:
Manage the logistics of proposal submission, ensuring timely delivery via the appropriate channelsTrack and record proposal submissions, maintaining a database of current and past bidsAssist in debriefs and post-proposal analysis, including feedback gathering to refine and improve future proposal submissionsBid Strategy & Market Intelligence:
Contribute to bid strategy, offering insights on how to improve the company’s competitive positioningMonitor market trends, competitor activities, and customer requirements to inform future proposalsResearch and gather information to include corporate information, product information, and other standard materialsMonitor proposal content to ensure compliance to RFP requirements, evaluation criteria, and requirementsMonitor for relevant competitive opportunities, managing the bid opportunities pipeline and circulating opportunities to the appropriate stakeholdersMaintain and update all vendor registrations, including those using an online bid portal, with customer purchasing departments.Facilitate vendor registration with new entities, including preparation and submission of required documentation.Seek out new entities with whom we are not registered, to ensure the company receives notification of bidding opportunitiesQualifications:
Education:BS/BA degree, or equivalent in relevant experienceExperience:4+ years’ experience writing and seeking grants and proposals in the educational publishing industry and corporate contract experience in a Bid, Proposal, & Contracts Coordinator or similar roleExperience in project management, particularly related to preparing technical or business proposalsFamiliarity with RFP processes and tender submissions in educational publishing industrySkills:Proven ability to work across organizations with effective communication, leadership, and project management skillsProven attention to detail Strong writing, grammar, and spelling abilityStrong written, presentation, and verbal communication skillsAbility to work in a deadline-conscious, results-driven environment and collaborate with multiple teams and work under pressure to meet tight deadlinesExperience with understanding and interpreting legal terminology a plusExcellent organizational and time-management skills with a keen eye for detailProficiency in Microsoft Office365 Suite (Outlook, Word, Excel, PowerPoint)Attributes:Strong problem-solving abilities and attention to detailAbility to prioritize tasks effectively and manage multiple proposals simultaneouslyPositive, proactive attitude with a strong customer service orientationPay Range:
