Job Description

We are seeking a diligent and versatile Billing and Shipping Coordinator to join our team. The ideal candidate will have experience in invoicing, billing, and shipping/receiving processes. This role requires strong organizational skills, attention to detail, and the ability to work both independently and collaboratively within a fast-paced environment.

ResponsibilitiesGenerate, post, and update daily invoices, process customer credit card orders.Calculate additional charges or shipping dates, ensuring accuracy before posting data in all systems.Correct customer billing errors, process credit memos, and address invalid invoices or account discrepancies.Track and update customer contact information, maintaining thorough and accurate documentation.Assist the Controller and Staff Accountant with daily billing activities; support other month-end or ad-hoc finance tasks as needed.Load shipments on UPS, LTL, and trucks as needed.Make local pick-ups and deliveries as necessary.Prepare shipping boxes/cartons.Monitor, record, communicate, and resolve all shipping issues or delays.Occasionally assist customers with pickups; the right candidate must be willing to step in as needed.Collaborate with internal teams (e.g., Purchasing, Warehouse, Sales) to ensure smooth workflows and resolve any operational or accounting-related issues.Provide occasional customer-facing support, including customer pickups, demonstrating a willingness to assist where needed.Contribute to process improvements in both shipping and invoicing to enhance efficiency.Essential Skills1–3 years of invoicing/billing & shipping/receiving experience.Experience in accounts receivable or general accounting support.Proficient in Microsoft Office (Excel, Word).Ability to manage multiple tasks in a fast-paced environment with strong attention to detail.Solid verbal and written communication skills to interface effectively with internal teams and external customers.Self-starter who works effectively with minimal direct supervision; able to prioritize and multitask in a high-volume, deadline-driven setting.Willingness to step in and assist with shipping tasks, including preparing shipments and coordinating pick-ups, as needed.Ability to lift up to 50 pounds and stand or walk for extended periods, if necessary.Additional Skills & QualificationsNo degree necessary; coursework or certification in Accounting, Finance, or Business Administration is a plus.Familiarity with accounting or ERP systems is a plus.Prior exposure to shipping administration or logistics support is a plus.Work Environment

This role reports to the Controller and works alongside the Staff Accountant. The role encompasses a variety of tasks including accounting, shipping, receiving, and other duties as assigned. The candidate must live within a 20-minute commute to ensure reliable and timely attendance.

Pay and Benefits

The pay range for this position is $20.00 - $25.00/hr.
