Description We are offering a long term contract employment opportunity for a Billing Coordinator in Seattle, Washington. The primary function of this role involves project accounting, client invoicing, and maintaining project records within the industry. The workplace is fast-paced and requires a keen attention to detail.
Responsibilities:
• Prepare and process client invoices with accuracy and efficiency
• Set up and maintain project records in the accounting system
• Regularly review project costs, transferring hours and expenses as necessary
• Communicate effectively with project managers and principals regarding contracts, change orders, approvals, and additional services related to invoicing
• Review and post sub-consultant invoices to projects, ensuring they align with fee maximums and contracts
• Investigate and resolve issues that result in unbillable hours or expenses
• Prepare detailed project analyses for project managers and final invoices for approval and signature
• Regularly update management on remaining funding available for projects
• Assist with the reconciliation of cash receipt variances
• Respond to client requests for additional invoice details
• Close out project accounts upon completion
• Process Concur expense reports, including review and payment
• Assist with AIA contract writing for subconsultant agreements
• Maintain organized files of consultant Certificates of Insurance
• Provide general support to the Accounting team
• Assist with the preparation of Federal reports such as ISR, SSR, and Department of Commerce Surveys
• Perform other assigned duties as needed. Requirements
• Proficiency in Deltek, a crucial software for project management and billing
• Comprehensive understanding of Project Billing and its application in a business setting
• Ability to manage and monitor Project Budgets effectively
• Expertise in Cash Applications, maintaining financial accuracy and compliance
• Strong skills in all aspects of Billing, from invoice creation to payment tracking
