The HME Billing Intake position works closely under the direction of the HME Billing Lead in maintaining the integrity of the Reid Health Medical Equipment Department revenue cycle.  Responsibilities will include providing excellent customer experience every time to those inquiring about payer coverage pertaining to the services HME provides and status of submitted claims. Conduct follow up calls to customers and insurance payers as necessary. Advises and instructs the HME Sales Specialist designated to billing as to the proper billing procedures for various types of medical equipment including but not limited to mobility products, diabetic shoes and supplies, compression hose, braces, bath safety, mastectomy, and wound supplies. Provides support to the HME Sales Specialist when needed to cover diabetic shoe, compression and mastectomy fittings.

Overview of Responsibilities

1. Completes claim data collection in accordance with CMS standards and transmits files to CMS in a timely manner. Insures all information is complete and correct before submitting data.
2. Uses computer and software programs with proficiency.
3. Provides excellent customer service.
4. Cash register operation and balancing, when needed for shift coverage.
5. Calls Materials Handling Department to clarify products stocked in Hospital warehouse when needed.
6. Relays information to patients, customers, and other staff members.
7. Schedules appointments for HME Specialist and Manager using Microsoft Outlook.
8. Follows Code Procedures.
9. Completes logs for admissions, discharges, and medical necessity reviews for acute rehabilitation unit.
10. Greets every customer or patient that enters the HME store or HME Offices with eye contact and a warm positive tone.
11. Communicates with health information management and patient financial assistance for additional billing needs
12. Processes transaction using the HME point of sale software, when needed for shift coverage.
13. Responsible for inventory management and new product data entry, for billing DME/HME services only.
14. Processes incoming and outgoing eFaxes through Brightree as well as outgoing HME department mail.
15. Represents the hospital and patient by communicating with payers as required.
16. Access HME department voicemails, and log appropriately for Quality Improvement.
17. Answers the phone using the appropriate HME greeting within three rings.
18. Transfers calls to the appropriate HME staff member or refers to a servicing provider.
19. Completes daily worklist in HME billing software.
20. Fills in on unscheduled hours/shifts when needed, may include open or closing shifts.
21. Prepares material for bi-monthly staff meetings pertaining to billing and work flows.
22. Check work emails daily for updates and HME department communications.
23. Processes Prior Authorization forms, Certificates of Medical Necessity, and documentation for appropriate billing of equipment and supplies to third party payers.
24. Assist with filing, shredding, and other department record keeping as necessary.
25. Maintains record keeping and filing system in accordance with departmental policy. Classifies, sorts and files correspondence, records, and other documents accordingly. Purges files in accordance with policy. Retrieves information from files as requested.
26. Assists in developing and implementing clerical policies and procedures for efficient department operation.
27. Provides instruction, consultation and fitting to patients/customers for diabetic shoes, compression garments, orthopedic braces, nursing bras and breast prosthesis products as needed when covering shifts for the HME store
28. Fits, instructs and evaluates patients for general orthopedic braces, at least twice monthly to maintain knowledge for shift coverage.
29. Fits, instructs and evaluates mastectomy patients with specialized bras and forms, at least twice monthly to maintain knowledge for shift coverage.
30. Fits, instructs and evaluates patients for multiple types of compression garments, at least four times monthly to maintain knowledge for shift coverage.
31. Fits, instructs and evaluates patients for diabetic shoes with multiple density heat moldable or custom fabricated inserts, at least four times a month to maintain knowledge for shift coverage.

Education/Experience Minimum of High School diploma or equivalent Minimum two years customer service and excellent computer skills.Two years medical office or related experience, HME/DME product knowledge preferred. Schedule Details Day Shift. Monday - Friday; 8am-7pm - hours vary depending on shifts and coverage for the HME store. What We Offer
