The Finance team at Cupertino Electric, Inc. (CEI) provides employees, stakeholders and customers with timely and accurate financial information. The Finance Department is comprised of six teams: Accounts Payable (AP), Accounts Receivable (AR), Billing, Collections, Payroll and Tax that work closely together to ensure compliance and the financial well-being of the company. **ABOUT THE ROLE** The Billing Specialist I is accountable for preparing customer invoices in accordance with contractual agreements. This role ensures that our progress billings, change orders and compliance documents are submitted accurately and timely to our customer. CEI Billing Specialists research and resolve billing issues, customer inquiries and overall management of a project billings to ensure that we are reimbursed timely. This position assists the Billing Supervisor to timely collect payments on outstand receivables. The position will work closely in providing customer service to all internal and external customers. This role reports to the Billing Supervisor. **Project Billing:** + Accurately set-up projects in JDE by reviewing contracts for billing requirements. + Prepare monthly project billings for our projects and submit to Project Manager and Billing Supervisor for review and approval. + Troubleshoot and resolve billing discrepancies as directed by Project Manager and Billing Supervisor. + Prepare conditional and unconditional lien waivers for our Billings to customer and to collect final waivers from our vendors. + Ensure that all compliance documents for Billing purposes are current. + Coordinate with Project Manager and Billing Supervisor for any revised billings and making necessary adjustments to invoices. + Maintain proper job files to provide support for job audit + Perform other duties and responsibilities, as assigned by Billing Supervisor. **Collections** + Monitor the Accounts Receivable report and support the collection of payments on outstanding invoices. + Communicate with Project Manager and Billing Supervisor, as well as customer on status of payment and update AR Report. **ABOUT YOU** We're seeking a focused Billing Specialist with exceptional attention to detail and organizational skills. As a meticulous record-keeper, you are a natural at multi-tasking and communications with all levels of an organization including project managers, customers, colleagues, and executives. You're a team player, but also thrive in working autonomously where you are both proactive and able to set priorities. **WHAT YOU WILL GAIN** In this role, you’ll have the opportunity to contribute to CEI’s projects by ensuring requirements are met, projects billings are prepared, and billing discrepancies are resolved. With internal customers at CEI and external vendor customers, you can expect to wear multiple hats—from coordinating with Project Managers to maintaining proper job files to support job audits—all in order to provide a positive customer service experience. You will gain an understanding of the day-to-day operations of billing/accounting from a construction industry lens and play a proactive role in ensuring all compliance documents as it relates to Billing purposes are current. **MINIMUM QUALIFICATIONS** _Any combination of education and experience that would likely provide the required knowledge, skills and abilities as well as possession of any required licenses or certifications is qualifying._ **Education:** High School Diploma or GED required.
