Job Responsibilities:
E-Billing Support:
For Legal teams, act as eBilling manager, tracking all matter and law firm activity in Legal Tracker. Ensure all appropriate documentation is accounted for in setting up new matters by reviewing and editing engagement letters, confirming matter budgets, and confirming rates are submitted correctly. On-board new Legal Department vendors, as necessary, liaising with firm and Procurement checking that appropriate paperwork is completed by vendor. Review outside counsel invoices for compliance with fee arrangements, timekeeper rates, matter budgets and Company Billing Guidelines. Provide on-call support to suppliers (law firms and non-legal vendors) on billing regarding budgets, invoice submissions, on-boarding, accruals, etc. Run monthly reports including: law-firm unbilled time, accrual balance, fiscal year spend, pending invoices, and invoice write-downs. Provide timely communications with appropriate parties (i.e., Finance, law firms, and lead attorneys) to resolve billing issues. Send transmission of approved invoices to Accounts Payable on pre-approved schedules.
Finance Support:
Serve as interface between Legal and Finance on matter budgets and forecasting Working with Finance, prepare monthly budget report(s) and coordinate forecast meetings for Legal and Integration teams. Coordinate and liaise with attorney leads regarding budget and forecasting updates. Track and communicate updates regarding unknown matters, settlements, and third-party expenses to Finance and appropriate teams. Manage accrual process liaising with lead attorneys and law firms to ensure accurate accruals are submitted and documentation is provided to Finance for both Legal and Strategic Development matters. Working with Manager and Finance, assist with annual budget planning for Legal OPEX accounts as well as any new Legal, PAS and IA department initiatives. Provide above billing and reporting support for Legal Integration spend and communicate to appropriate teams. Assist with CAPEX budget planning and maintenance. Provide various ad-hoc budget reports as requested by Finance, Accounting, Internal Audit and PwC.
Strategic Support:
Support Manager on driving strategic projects. Provide manager and Deputy General Counsel with requested data to support pricing negotiations. Prepare budget and forecast summary reports for Manager and Deputy General Counsel, as may be requested Working with Finance, prepare annual benchmarking reports as needed Train new attorneys on Legal Tracker and Billing Guidelines Support other operational activities for Legal, including ad-hoc reports, editing proposals or creating presentations as needed for Manager and Deputy General Counsel. Working with Integration team leads, provide budget planning support and tracking for Integration spend within Legal. .
Department Support:
Manage payment requests submitting the necessary documentation and providing payment status updates. Communicate continued learning opportunities to the department. Provide Expense & Travel support as needed and directed by Legal Department (and subject to change) Other Administrative duties as assigned
The expected Total Compensation for this role is $23.00 - $34.44. Individual compensation decisions are based on a variety of factors.
