Minimum Qualifications
Four years of experience in budget development or analysis, accounting, auditing, policy planning, procurement, contracts or grants management, project management, statistical analysis, or financial services; OR
Six years of full-time work experience in any field plus one year of experience in budget development or analysis, accounting, auditing, policy planning, procurement, contracts or grants management, project management, statistical analysis, or financial services; OR
A bachelor’s degree plus one year of experience in budget development or analysis, accounting, auditing, policy planning, procurement, contracts or grants management, project management, statistical analysis, or financial services; OR
An advanced degree in business administration, accounting, finance, public administration, or statistics.
Job Concepts
FUNCTION OF WORK:
To provide administrative support for a professional, supervisor, or manager, and in some cases, subordinate staff of that individual, and to perform budget preparation, review, and monitoring activities. Employees perform duties independently and exercise a high degree of independent judgment and initiative in determining the approach/action to take in non-routine situations.

Examples of Work
+ Administrative
+ Responds to requests for information; may require interpretation of department rules and regulations
+ Independently composes and types correspondence for the signature of supervisors regarding administrative matters, office policies, or programs
+ Compiles and types special reports by selecting relevant information from a variety of sources such as reports, documents, correspondence, electronic files etc,
+ Organizes and maintains files and reference manuals/ materials, ensures confidentiality of information
+ May perform administrative functions such as payroll preparation, travel, supply requisitions. Etc.
+ Establishes and maintains electronic files for identifying, recording and classifying stored data; extracts, assembles and merges stored information to create new documents
+ Budget/Grant
+ Monitors and forecasts revenues and expenditures to identify trends and potential funding problems
+ Prepares required reports and financial statements which include the compilation and analysis of data
+ Maintains records, prepares reports and/or correspondence relative to contracts and/or grants.
+ Reviews submitted grant invoices, grant purchase approvals and modifications.
+ Tracks the approval process of contracts/grants ensuring all necessary approvals are received.
+ Researches grant awards and state appropriation budgets to make sure that funds are available.
+ Reviews reports and records to ensure costs claimed are allowable, and to ensure contract/grant is on schedule and terms are being met.
+ Provides technical assistance to program personnel in preparation of grants proposals or contracts agreements.
+ Reviews required progress reports, completion reports and work products from Program Mangers, sub-grantees, and contractors.
