About the Department

The Division of the Physical Sciences (PSD) is a division whose history is arguably the richest of any such division in any university in this country. The scientists of the Physical Sciences Division have advanced and defined new fields of discovery, and this tradition of innovation continues today. The division includes the academic departments of Astronomy and Astrophysics, Chemistry, Computer Science, Geophysical Sciences, Mathematics, Physics, and Statistics. In addition, PSD includes a number of interdisciplinary research institutes and centers, including the Enrico Fermi Institute, the James Franck Institute, the Kavli Institute for Cosmological Physics, and the Institute for Biophysical Dynamics. Many of our researchers have joint appointments at Fermi National Accelerator Laboratory and Argonne National Laboratory, as well as joint affiliations with other Chicago based research institutions such as the Toyota Technological Institute of Chicago, Adler Planetarium, the Museum of Science and Industry and the Field Museum, to name a few.


Job Summary

Reporting to the Director, the Building and Lab Manager plans, schedules, and oversees the operations and maintenance of divisional buildings, laboratories, utility infrastructure, technical facilities, and equipment in Hinds, the Kersten Physics Teaching Center and as assigned.

Responsibilities

Manages day to day operations, policies, procedures to support the strategic mission on the unit. Works with the Director on all critical building issues.Oversees building security, including building access; which includes electronic access and building keys; serves as the primary liaison with Department of Safety and Security (DSS) for the CBORD electronic entry system.Creates and manages Patron Groups within CBORD for various access levels as reviewed with the unit leadership.Leads building maintenance activities to include painting, carpentry work, mechanical, plumbing, electrical, building automation, and electronics systems, including preventative and general maintenance.Manages the planning and execution of office renovations and/or set-ups in addition to other facilities-related projects.Liaison between respective departments and capital delivery projects.Supports capital construction projects including participating in meetings with users, architects and/or contractors to ensure compliance with building standards, codes and regulations, and user needs.Reviews plans, blueprints and specifications for construction or remodeling and recommends appropriate modifications or additions to plans as necessary.Issues and follows up on work orders to correct deficiencies; ensures timely delivery of facilities services requested by unit faculty, students, and staff.Oversees mail, package receipt and delivery, movement of equipment and materials.Maintains unit files and records including building code reports, project reports, and quality control reports.Coordinates services with other departments to minimize student, faculty, staff, and visitor disturbances.Assists the PSD with equipment tagging and audits within assigned unit space.Assists in developing recommendations regarding replacement of existing equipment, purchase of new equipment, and hiring of outside contractors.Assists with department event set ups as required by units.Supports the upgrade of AV equipment in conference and seminar rooms.Responsible for all lab maintenance, ensuring compliance, and lab issues are resolved.Supports the installation of new lab equipment and provides associated infrastructure as needed.Maintains database of occupants, room locations, and other space information as required; Manages online space plans for the University Space Information Management System.Assists the PSD Associate Director of Facilities with space audits and with future space planning and management for unit needs.Provides support to other PSD building managers in their absence or to meet other divisional needs. Analyzes financial data to determine the personnel, supply, and equipment components of job costs, preparing reports detailing operating costs to assist the Director in preparing department budget.Participates in Emergency Planning and Preparedness effort.Acts as the Chair of the Fire Safety Committee, overseeing fire alarms and drills, ensuring regulations are met regarding fire safety for U of C and the City of Chicago in unit assigned building.Manages the Emergency Evacuation Team and attends Facility Forum meetings.Supervises and trains Service Worker(s).Leads the coordination of maintenance of facilities, grounds and/or equipment. Receives requests for facilities services from unit employees and coordinates delivery of appropriate services. Utilizes specialized skills and on-the-job experience to conduct inspections of buildings, equipment and/or surrounding grounds for deficiencies and potential safety, health, or code problems.Supports the work of unit facilities unionized staff. Prioritizes and schedules work assignments, inspects work, and provides guidance and technical assistance. Positions at this level occasionally may perform the work of employees they oversee.Performs other related work as needed.


Minimum Qualifications

Education:

Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).


Work Experience:

Minimum requirements include knowledge and skills developed through 7+ years of work experience in a related job discipline.

Preferred Qualifications

Experience:

Experience in facilities management services including facilities planning, design, support services, and construction coordination for interior renovations.Supervisory experience.Experience, in design and space allocation.Familiar with City of Chicago building codes, blueprint reading.Experience with contract and purchasing methodology and terminology.

Technical Skills or Knowledge:

Microsoft Office Proficiency: Word, Excel, PowerPoint, and Outlook.

Preferred Competencies

Able to develop, implement and monitor budgets and project scheduling.Able to develop, implement, and monitor standards necessary to ensure consistent and cost-effective level of facilities design, implementation, control, and evaluation.Ability to assess relative strengths of various vendors.Strong oral and written communication skills.A strong team player willing to pitch in at any level when the need arises.Exceptional Customer Service and ability to work with all levels of staff.Able to travel occasionally to remote survey operation centers.

Working Conditions

The ability to take calls on nights and weekends for urgent building related matters.
