Job Description:
Service Strategy and Planning:
Develop and implement strategies for soft services deliveryAlign soft services with organizational culture and employee experience goalsForecast future service needs and adapt to changing workplace trendsService Portfolio Management:
Oversee a range of soft services, including but not limited to:Cleaning and janitorial servicesReception and front-of-house servicesMail and courier servicesFood services and cateringGrounds maintenance and landscapingOffice support services (e.g., printing, supplies management)Workspace management and space planningConcierge and hospitality servicesVendor Management:
Select, negotiate with, and manage soft services vendors and contractorsDevelop service level agreements (SLAs) and key performance indicators (KPIs)Regularly review vendor performance and ensure contract complianceQuality Assurance:
Implement quality control measures for all soft servicesConduct regular audits and inspections to maintain high service standardsGather and analyze customer feedback to drive continuous improvementBudget and Financial Management:
Prepare and manage budgets for soft servicesAnalyze costs and implement efficiency measuresProvide financial reporting and forecasting for service deliveryTeam Leadership and Development:
Manage and lead soft services teams, both in-house and outsourcedProvide training and development opportunities for staffFoster a customer-centric culture among service providersHealth, Safety, and Compliance:
Ensure all soft services comply with relevant health and safety regulationsImplement and maintain safe working practices for service deliveryStay informed about and adapt to changing regulatory requirementsSustainability Initiatives:
Implement environmentally friendly practices in soft services deliveryPromote sustainability awareness among staff and service providersSeek innovative solutions to reduce the environmental impact of servicesTechnology Integration:
Implement and manage software systems for service requests and deliveryUtilize data analytics to improve service efficiency and user satisfactionStay informed about emerging technologies in facility servicesStakeholder Management:
Liaise with internal departments to understand and meet their service needsCommunicate service updates and changes to building occupantsRepresent soft services in facility management team meetingsContinuous Improvement:
Stay informed about industry best practices and innovations in soft servicesBenchmark services against industry standardsImplement process improvements to enhance service delivery and efficiencyQualifications:
Bachelor's degree in Facility Management, Hospitality Management, or related field5+ years of experience in soft services management within a corporate environmentStrong knowledge of service delivery models and customer experience principlesExcellent leadership, communication, and problem-solving skillsExperience with service management software and analytics toolsUnderstanding of relevant health, safety, and environmental regulationsCertifications in Facility Management (e.g., FMP, CFM) or Hospitality Management are preferredThis job description outlines the key responsibilities and qualifications for a Soft Services Facility Executive.
