The Caine College of the Arts is seeking a Business Assistant II to join the Business Services team. The primary purpose of this position is to oversee all travel related activities for the college. This role involves planning and booking travel, developing tools and methods to enhance travel coordination, and working closely with travelers to support their needs. Additionally, the Business Assistant II will review travel activities to identify opportunities for reducing expenses and improving travel processes. This position will work across multiple departments. The role is full-time benefited position and reports directly to the College Financial Officer. This position is telework eligible with a hybrid schedule after 6 months and the successful candidate is trained in all areas of the position.
Responsibilities Prepare and process travel authorizations and reimbursements in accordance with university travel policies and procedures. Review and process travel authorizations and reimbursements for all administration, faculty, staff, students and guests in the Caine College of the Arts. Attend university training sessions and engage in personal development to stay updated on university policies and procedures. Coordinate and purchase travel using various research and booking resources. Determine destinations, modes of transportation, travel dates, costs, and accommodations.Prepare itineraries as needed.Manage and coordinate the Student Differential Tuition Travel Program. Process and track student travel proposals, matching funds and budgets; guide program improvements, make travel purchases, keep the program website updated, and work with students on their individual and group travel. Schedule and meet with students as necessary.Collaborate with colleagues on the Caine College of the Arts Visiting Artist and Scholar Series to coordinate and purchase travel for guest artists. Attend planning meetings and track budgets.Assist department staff with questions and travel needs in coordination of department-funded guest travel.Track travel expenses and enter into correlating project budgets. Analyze potential travel-related issues and provide advice.Maintain open communication with travelers to prevent confusion and mix-ups. Respond promptly to inquiries related to travel. Process all paperwork and approvals in a timely manner. Occasionally, accept calls from travelers after hours for immediate changes in travel schedules. Run weekly reports to ensure all travel authorizations and reconciliations are completed promptly. Performs other related duties as assigned. QualificationsMinimum Qualifications:
Four years of related work experience; or an associate degree/technical training plus two years of related work experience; or a bachelor’s degree in a business field is required.Preferred Qualifications:
