Business Contract Analyst - Material Management
*POSITION SUMMARY* Responsible for advanced configuration of supplier, supply item and pricing information within the Enterprise Resource Planning (ERP) systems. Will ensure complex data issues related to acquisition, merger, divestiture, and product line information is appropriately represented in supply chain systems. Ensures and creates alignment with price integrity between the GPO, Manufacturer and Distributor while supporting Strategic Sourcing, Value Analysis, and stakeholders in maintaining accurate supply and service items and pricing contracts in multiple data systems. Supports enterprise initiatives such as item/contract file accuracy, SKU-reduction, contract compliance, savings identification/realization through maintenance of data and supporting sourcing and value analysis on cost savings initiatives. *PRIMARY ACCOUNTABILITES* 1. Using multiple analytical approaches, to research, validate and process supply items and pricing, and add and change requests in ERP’s as well as contract management system, and ensure alignment and consistency of data between multiple systems, while working independently within a broad scope of guidelines and established policies and goals when processing complex supplier additions and changes. 2. Analyze data in support of sourcing and value analysis in the evaluation of supplies, services, and equipment initiatives accomplished through standardization, contract, and price optimization opportunities. Support the identification and implementation of cost-savings initiatives, and elimination of waste, redundancy, and inefficiency throughout the organization. 3. Analyze market and internal system-based information for acquisitions, mergers, divestures, and product line changes within the supplier community. Determine appropriate action to take in ERP systems and execute changes per the required timeline, while partnering with appropriate sourcing and contract administrators. 4. Manage and execute multi-step reference data, add change processes, including researching, tracking, and building queries, item file maintenance and upload to multiple systems in support of enterprise initiatives to consolidate and reduce supply cost. 5. Establish and maintain tracking systems reference data change requests between the Manufacturer, GPO, and Distributor. Communicates status of addition and changes to all parties. 6. Identify and analyze errors and discrepancies across multiple platforms and perform appropriate reconciliation and maintenance entries to ensure accuracy and consistency of supply chain reference data. 7. Support master data integration for new entities; provide support for divested entities; provide go-live support for implementations. 8. Perform triage of incoming recalls/alerts and perform custom data extracts for affected products and ministries. 9. Maintain a working knowledge of applicable Federal, State, and local laws and regulations, Health First’s Organizational Integrity Program, Standards of Conduct, as well as other policies and procedures to ensure adherence in a manner that reflects honest, ethical, and professional behavior. 10. Create detailed analyses of data from multiple Materials Management Information Systems and monitor organizational compliance to supply chain projects. Use reports and queries to analyze issues and make recommendations for improvements with specific systems and hardware, equipment and/or systems related to area 11. Collaborate with Departments and HF facilities to monitor and report on compliance of implemented changes in products, services, and processes. *MINIMUM QUALIFICATIONS* * Education: Bachelor’s Degree in relevant discipline * Experience: Three (3) years in materials management, logistics/distribution, inventory management and/or forecasting in health care. * Skills, Knowledge and Ability: o Technology- Previous Materials Management Information Systems Software experience, especially PeopleSoft / Lawson; Proficient in use of Microsoft tools (i.e., Excel, PowerPoint, Word, Visio) and other relevant systems related to role. o Critical Thinking - Ability to analyze complex tasks, systems, and problems to work toward desired goal, objective, or outcome with some supervision/oversight. o Project Management - Manage several complex projects simultaneously. o Teamwork - Work tactfully and effectively with team members, vendors, and the user community. o Initiative - Work Independently within a broad scope of guidelines and established policies and goals. o Adaptability - Work in an extremely stressful and dynamic work environment often while managing multiple, concurrent, high-priority tasks. o Attention to Detail - Persistent attention to detail to formulate effective solutions to complex problems. o Time Management – Prioritize and balance work projects and demands, and able to work under pressure and meet planned, unplanned, changing, or inflexible deadlines. *PREFERRED QUALIFICATIONS* * Education: Bachelor’s Degree in Business Finance or clinical or business field related to the primary area of responsibility, or equivalent experience. * Experience: o Hospital experience. o Previous Materials Management Information Systems Software. o PeopleSoft / Lawson preferred. * Skills, Knowledge, Ability: Process Improvement – knowledge of LEAN or another model to identify opportunities for improvement to achieve goal and/or outcome. *PHYSICAL REQUIREMENTS (ADA, Travel, Environment, Noise)* * Majority of time in an office environment; low to moderate noise. Majority of time, sitting. walking, bending, stooping.
