Business Coordinator
Overview Through the collection and resale of gently used goods we are able to provide the financial support to assist men and women with a variety of social and spiritual afflictions. The in-residence rehabilitation program focuses on basic necessities with every man or woman being provided a clean and healthy living environment, good food, work therapy, leisure time activities, group and individual counseling, and spiritual direction. All our effort is focused on developing life skills and a personal relationship with God through Jesus Christ. More than just a job, each member of the team contributes to recycling goods that literally recycle and repair broken lives. Responsibilities Function: The Business Coordinator is expected to build a cohesive employee environment resulting in a team that effectively meets the goals and objectives of The Salvation Army and the Adult Rehabilitation Center. Duties and Responsibilities: 1. Meet with the Administrator on a regular basis to discuss issues and trends, and participate in the development of a strategic business plan for the center. 2. Assist with budget preparations/business plan as it relates to the operations and production area of the center. 3. During the absence of the Administrator, supervises all aspects of ARC operations, reporting as deemed necessary to Command Headquarters. 4. Responsible for the supervision, planning, problem solving, and coordination of all of the center’s dispatch, sorting and thrift store operations. 5. Responsible for solicitation of donations. This includes advertising, bag campaigns, employer drives, placement of donation boxes andother appropriate methods to procure donations in-kind. Good judgment must be exercised to acquire quality and volume, while minimizing inferior donations which increase dump costs. 6. Monitor the approved workplace policies, procedures and systems to maximize productivity, and to ensure that adequate funds are available to effectively run the program and operation within the budget limit. 7. Will have significant authority and input into decisions in the recruitment, hiring, orientation, training, and supervision of personnel. 8. Responsible, in concert with the Administrator, for any disciplinary action of employees, up to and including discharge, assuring clear written documentation of all remedial actions, warnings, etc. 9. Review all hiring to maintain standard of quality in the hiring practices of all staff. 10. Responsible for training and development of supervisors in areas such as leadership, communication skills, organizational skills, people skills, job knowledge, etc. 11. Responsible to see that employees are trained and developed, i.e. – collection center personnel trained to professionally deal with customers and diplomatically refuse unusable items. 12. Ensure that systems are in place to track donations of significant value from donors, trucking routes are planned efficiently to minimize the waiting period donors experience for pick up. Also systems should provide for the measurement of successful routes and the quantities (Green sheets). Maintain manifests for shipments to stores. 13. Responsible for assignment, reassignment, and regular review of employees in their areas of responsibility. Conduct performance evaluations of the Supervisors and participate in other employee evaluations when required. Recommend wage increases for employees as and when appropriate; i.e., merit, promotional within Command policies and budgetary limitations. 14. Review and approve work schedules, absences, and vacation schedules of warehouse, dispatch, sorting and thrift stores personnel insuring adequate staffing at all times. 15. Support the payroll function by verifying and reviewing all time sheets/cards and documents for appropriate approvals and correctness. 16. Review and approve any employee needs for stores, warehouse, sorting, and overtime when and if necessary, exercising good stewardship in the use of overtime. 17. Responsible for maintenance, security, and proper use of work therapy building and stores, vehicles, and equipment. This includes, but is not limited to forklifts, scales, material handling equipment, etc. Minor repairs should be immediately attended to through employee/beneficiary efforts or through local professional services. If the extent of work requires command approval, bids should be acquired and presented through the Administrator. 18. Responsible to organize and maintain systems to monitor efficient flow of materials through the warehouse. This shall include the efficiency of all receiving, storage, sorting, shipping, and discarding of all items. Particular attention should be paid to quality, quantity, hanging, packing, and the volume of material produced and shipped. 19. Responsible to provide various documents to the Administrator including accurate inventory of specific items such as baling reports, production reports, material shipped to stores, phone room reports, daily sales reports, and other daily/weekly/monthly reports. 20. Maintain an ongoing dialogue with supervisors, administration office, warehouse, sorting room, stores, and Administrator with regards to various reports, and information. 21. Report to Administrator any site visits and/or communication from OSHA (Occupational Safety and Health Administration) and CPSC (Consumer Product Safety Commission) Fire/Building/City/Town/Local inspector. Verify inspector credentials by getting business card and contact details to forward to Administrator. 22. Conduct meetings with operations and production staff on a regular basis and participate in management meetings as necessary. 23. Periodically conduct thrift store, truck route, and box inspections, to ensure compliance with command policies and procedures. 24. Regularly review the accounting reports insuring operation within the budget and verify invoices for payment with purchase orders. 25. Responsible for customer service including the handling of complaints from donor, customers and employees. 26. Provide oversight, guidance, training, and coaching to beneficiaries. Coordinate with counselling department on a regular basis to share evaluations and work therapy assignments of beneficiaries and plan their development. 27. Attend staff meetings as required. 28. This position will support the work therapy program component of The Salvation Army Adult Rehabilitation Centers by providing to beneficiaries; an example of professional conduct, work habits, and supervision (as directed by Supervisor). 29. Other duties as may be requested by the administrator to improve the overall operation of the cent Qualifications: 1. Have one or more of the following:a) College degree in Business/Managementb) Degree or certificate in vocational rehabilitationc) High school graduation with five (5) years experience in the operation of Salvation Army ARC or other work-oriented rehabilitation facility. 2. Accept and follow directions.3. Must possess a valid driver’s license with acceptable DMV record.4. Excellent interpersonal and communication skills.5. Ability to recruit, hire, train, and discipline employees.6. Ability to read and interpret income and expense statements and reports.
