Business ManagementThe Business Coordinator Lead plays a dual role in both providing high-level operational support to their assigned product line and overseeing the team of Business Coordinators across their respective regions. As the team lead, this role is responsible for mentoring and guiding Business Coordinators, driving efficiency, standardizing processes, and ensuring consistent high-quality support across Global Markets. The Business Coordinator Lead acts as a key point of contact, promoting collaboration, ensuring equitable workload distribution, and providing feedback and reporting to senior leadership to align the team’s efforts with broader business goals.

Team Management: Lead, mentor, and provide guidance to the team of Business Coordinators across their respective region.
Workload Distribution: Ensure Equitable distribution of workloads across the Business Coordinator team, assessing individual capacity and balancing support needs within line of business.
Point of Contact: Serve as the primary point of contact for senior leadership regarding the performance and operations of the Business Coordinator team. Act as the liaison between Business Coordinators and other units to ensure effective communication and alignment.
Standardization & Efficiency: Drive process improvements and ensure consistency in how Business Coordinators support their line of business. Develop best practices to improve efficiency and effectiveness across the team.
Reporting & Feedback: Provide regular reporting and feedback to senior leadership regarding the team’s performance, areas for improvement, and operational successes. Ensure the Business Coordinators receive ongoing feedback and support.
Professional Development: Provide ongoing mentorship and development for Business Coordinators to enhance their skills in areas such as management reporting, expense analysis, and operational support. Ensure team members are equipped to handle their expanding responsibilities.
Performance Oversight: Monitor and evaluate the performance of the Business Coordinators, ensuring they are meeting expectations and delivering high-quality support to their business.
Cross-Department Collaboration: Facilitate between Business Coordinators and other teams to ensure alignment with broader business goals. Promote knowledge-sharing and best practices across regions.
Business Coordinator Responsibilities:
Executive Support: Manage daily operations for designated senior leaders, ensuring seamless prioritization of key meetings and tasks.
Meeting Coordination & Participation: Convene and join high-level meetings, track action items, and ensure follow-ups are handled efficiently. Distribute meeting notes and decisions promptly.
Managing Information Reporting: Compile, analyze and deliver management information reports, ensuring accuracy and timely distribution to relevant stakeholders. Provide insightful commentary to support decision-making process.
Expense Management & Analysis: Assist in the analysis of expenses beyond simple entry. This includes finding costs savings opportunities, reviewing trends and accuracy in SmartProcure Dashboards, and challenging individual reports where necessary. Work closely with the Junior Sales Assistants to ensure all expenses are accurate and aligned with company policy.
Communication Management: Draft and send communications on behalf of leadership to the team and other stakeholders.
Operational Support: Assist in the smooth execution of day-to-day operations, coordinate onboarding/offboarding, and manage logistical support for the group heads.
Key Skills & Qualifications:
7+ years of experience in a senior administrative or business support role, with at least 2+ years in a leadership or team management position.
Proven ability to lead, mentor and manage a team, fostering collaboration and driving consistent performance.
Exceptional ability to manage multiple priorities and tasks across a complex business structure.
A proactive approach to identifying inefficiencies, solving challenges, and managing team dynamics.
Excellent verbal and written communication skills, with a focus on liaising effectively at all levels of the organization.
Advanced proficiency in Microsoft Office, STAR expense management systems and the ability to analyze and present.
Competence in managing and interpreting data, providing actionable insights, and ensuring accuracy in reporting.
Please note Salary range for this role is $95,000 - $115,000 USD
Salary:

Salaries will vary based on factors such as location, skills, experience, education, and qualifications for the role, and may include a commission structure. Salaries for part-time roles will be pro-rated based on number of hours regularly worked. For commission roles, the salary listed above represents BMO Financial Group’s expected target for the first year in this position.
