Summary You will serve as a BUSINESS DIRECTORATE MANAGEMENT ASSISTANT in the BUSINESS DIRECTORATE of NAVFAC SOUTHWEST Responsibilities You will maintain the BD's calendar including summary to ensure business engagements, conferences, travel, VIP visits, other other mission critical events are not overbooked. You will screen visitors and telephone calls to the office. You will determine the nature of request and direct calls to BD or determine appropriate messages, set up meetings and/or coordinate email responses. You will resolve or assists in resolving issues with Business/Support Line Leaders, Deputy or Public Works Officers or other subordinate or senior managers set by the Business Director policies as appropriate. You will schedule appointments on the BD's calendar and exercise primary control over meetings, appointments for scheduling, briefs, and events for the BD and Operations (OPS) Core. You will use expert executive level skills and judgment to ensure written and verbal outputs are clear, concise, accurate, understandable and of appropriate tone. You will gather, compile and prepare narrative and statistical material in a wide variety of formats as official files and records in support of the administrative and management functions such as power point presentations and briefings. You will document meetings and distribution or posting of those document. Requirements Conditions of Employment Qualifications Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-05 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: 1) Receive, screen visitors and telephone calls to the office; 2)Determines nature of request and directs calls to the BD or take appropriate messages, set up meetings and/or coordinates email responses on behalf of the BD involving the nature and request of the telephone call or visit; 3) Preparing program materials (e.g. slides, charts) to be utilized in briefings or meetings; 4) Maintains the BD's calendar to ensure business engagements, conferences, travel, VIP visits, and mission critical events are covered and not overbooked due to exceptional tight schedules. 5)Resolves or makes recommendations to accommodate conflicting activities; 6) Organizes and executes multiple large group meetings on site and off site that includes site selection, travel arrangements in the Defense Travel System (DTS), and all other administrative or logistical support. Incumbent is responsible of recording minutes of the highest level executive meetings and coordinates; 7) Writing and verbally communicating effectively with all levels of management and workforce.
