Summary:

Reports to the Director Medical Business Affairs and is responsible for administrative and non-clinical oversight of the department including administrative support and program coordination. Oversees assigned sub-specialty departments supervises non-clinical office staff and is responsible for administrative operations related to advanced practice providers. Creates office policies and procedures and ensures their implementation. Trains schedules and supervises office staff. Monitors departmental cost center budgets and ongoing contractual business arrangements with strategic partners. Ensures professional charge and billing reconciliation as well as invoice tracking for payment of professional services. 

 

Responsibilities:

Develops and maintains working expertise of medical office administration to maximize operational effectiveness. Oversees overall planning of office activities to accomplish practice�s mission and associated providers� long and short-term goals.

Supervises the daily activities of the administrative support and program coordination staff. Assigns and delegates tasks establishes deadlines for work assignments and monitors completion. Ensures that offices are properly staffed and partners with provider stakeholders to see that all functions are performed efficiently and in compliance with appropriate policies and procedures. Ensures staff training in all office processes and computer programs.

Designs and oversees adequate administrative and program coordination support for clinicians. Manages medical office flows to ensure prompt organized and pleasant stakeholder experiences. Recommends opportunities for increased efficiency and how to maximize human resources and administrative support.

In partnership with the Director effectively manages the Human Resources function. Leads the recruitment of new staff members provides staff both positive and constructive feedback conducts performance evaluations including recommending and implementing corrective action where needed and manages employee improvement plans. Encourages and supports the continuing development of staff meetings regularly to ensure that operational policies and procedures are understood and any issues addressed. Presents the results of Press Ganey employee engagement survey and leads the design and tracking of annual action plans.

Develops and monitors processes for ensuring patient family practice physician and employee satisfaction. Ensures excellent communication with referring physician offices and inpatient departments. Ensures all activities meet or exceed stakeholder expectations.

Monitors operating budget and administrative cost center expenses. Identifies variances and develops strategies to rectify as needed. Presents observations and investigations to clinical directors and TMH senior leadership with department director.

Attends appropriate medical business affairs and hospital business meetings. Understands and implements professional service contract business arrangements and amendments. Oversees receipt of invoices and prepares check requests with accurate budget and accounting identifiers. Works with clinical directors to reconcile services being rendered in relation to what is being invoiced and billed for. Works with strategic partners to reconcile any adjustments and outstanding balances.

For Medical Director professional service agreements with affiliated physicians and clinical partners - monitors the assembly submission and ongoing database of quality improvement plans. Follows up with stakeholders to ensure all identified areas have submitted annual plans and facilitates quarterly check in meetings with updated information regarding progress towards identified goals and metrics.

For a small number of clinical services remains current with Evaluation and Management (E&M) Guidelines compliance regulations charge posting procedures and system reports. In collaboration with the billing and revenue cycle team ensures the accuracy and timeliness of front end billing activities including for new providers the coordination of medical staff privileges and insurer/payor credentialing

In partnership with the Director oversees the non-clinical administrative and Human Resources function for advanced practice providers within the department. Ensures effective sourcing and recruitment efforts Medical Staff credentialing on-boarding payroll benefits and approved time off. Partners with attending physicians and clinical leadership in collating and facilitating annual performance reviews. Attends clinical staff meetings as needed to understand APP scheduling and human resource management.

Evaluates the utilization and effectiveness of contracted providers and program development. In tandem with clinical operations leaders makes recommendations to the Director regarding proposals or needed changes to professional services agreements. Develops standard and ad hoc reports for the Medical Business Affairs function and TMH leadership team as needed.

Collaborates with other Business Managers from Ambulatory Medicine and Surgical Services to understand the full portfolio of providers and services contracted for by TMH.

Develops expertise and agility in use of Intellicontract database. Generates customized reports to quantify and qualify categories of contract relationships and strategic partnerships.

QUALIFICATIONS-EDUCATION:

The knowledge of management and finance normally attained by completion of a Bachelors degree in management business or health care administration. Course work towards or completion of a Graduate degree in healthcare or related field preferred.

High level of investigative analytical and problem-solving skills in order to function as business manager and to prepare program proposals financial reports and analysis in support of healthcare services and activities.

High level of organizational and interpersonal skills to interact primarily with physicians and hospital leadership on matters having impact on clinical performance financial objectives and to effectively address competing needs for resources.

QUALIFICATIONS-EXPERIENCE:

At least two years� experience in the management or administration of hospital or healthcare related activities including medical business related services within a teaching hospital with demonstrated emphasis on effective contracting financial management and strategic relationships.

SUPERVISION:

Supervisory responsibility for up to 15 FTEs.
