Business Office Assistant

We are an Independent Living Community for Seniors. If you have a caring heart for Seniors, positive attitude, work well within a team environment and have good Work Ethics, we would like to encourage you to apply for this position.  Starting rate is $18.00 Depending on Experience.  Full Time position comes with Vac and Sick  benefits within the first year.  At your first year anniversary, 80 hours of both Vac and Sick pay available.  We are certified as a “Great Place to Work”.  

Position SummaryThe BUSINESS OFFICE ASSISTANT assists the business office with the overall administrative, billing, record-keeping, book-keeping and payroll functions in accordance with all laws, regulations and Century Park standards. Reports to the Business Office Director.

QualificationsMust have high school diploma or equivalent
Associates degree or equivalent preferred
2 years’ experience in accounting or bookkeeping preferred.
Accounts Payable software experience preferred.
Primary Job ResponsibilitiesBelow is a description of basic job duties though other related duties may become necessary as directed by supervisor.

Administrative and PlanningAssists with planning, developing, organizing, implementing and evaluating business office goals, policies and procedures
Accumulates and maintains accurate reports and statistics
Business Office DutiesPerforms variety of bookkeeping functions accurately and timelyMaintains monthly spend down reports for Department HeadsScans and enters invoices into A/P systemProvides requested reports and information timely to home officeMaintains personnel files and other associate records confidentiallySupports payroll function involving timecards, timesheets and related payroll recordsProvides onboarding support to the BOD.Serves as community representative for benefits programs (i.e., medical, dental, short-term disability and 401(k))Maintains resident records with files and electronic database.Works cooperatively with vendors, suppliers, contractors, home office staff and community staffAssists Business Office Director with human resource functionsProvides accounting support and/or training to Department HeadsAssists Marketing team with toursEnter relevant resident information in input into Electronic Health Record (EHR)Sales/Marketing SupportRegularly utilizes Front Desk Inquiry Connection Sheets for incoming inquiry calls for prospective residentsGathers information accuratelyCommunicates with sales team and back-up sales team so inquiry calls are handled timelyAssists with Electronic Health Record (EHR) input as requestedEssential FunctionsMust be able to assist with effective management and oversight of bookkeeping functions including: posting payments and charges to resident accounts, balance daily receipts, collect delinquent accounts, and evaluate need for and refer delinquent accounts to collection agenciesMust be able to maintain community checkbook and reconcile checkbook regularlyMust be able to responsible for resident accountsMust be able to assume the duties of the BOD when circumstances warrantMust exhibit excellent customer service and a positive attitude towards staff and residentsMust be able to read, write, speak, and understand the English languageMust demonstrate dependable, regular attendanceMust assist with evacuation of residents and support residents during times of crisis (i.e., natural disasters).Must be able to concentrate and use reasoning skills and good judgment.Must be able to communicate and function in an interdisciplinary team.Must be able to sit, stand, bend, lift, push, pull, stoop, walk, reach, and move intermittently during working hoursMust be able to lift 20 lbs floor to waist, lift 20 lbs waist to shoulder, lift and carry 20 lbs, and push/pull 20 lbsWho We AreAt Century Park Associates, we are dedicated to creating an enriching lifestyle for our residents and a rewarding work environment for our valued associates.
