Business Operations Specialist
Job Title: Business Operations SpecialistJob Description As a Business Operations Specialist, you will process orders, enter quotations, and respond to customer inquiries by email and phone in a professional and courteous manner. You will follow up on orders to ensure customers are kept informed and that orders are shipped in a timely manner. Additionally, you will work with forwarders and the Shipping Team to coordinate export shipments. Responsibilities + Process, review, and confirm orders within 24 hours, adhering to Departmental KPI for accuracy. + Review open orders for yourself and team members in their absence, reporting status to Customer Service Management and informing customers of any date changes. + Follow established policies and procedures. + Enter customer quotations. + Respond to customer, sales, and internal inquiries and requests by email or phone within Departmental KPIs for quality and responsiveness. + Coordinate new account set-ups and payment terms with the Accounts Receivable Department, maintaining addresses, notes, contacts, and customer preferences as needed. + Write up debits, credits, and complaints within Departmental KPIs for responsiveness. + Assist the entire team whenever required. + Refer inquiries, requests, or problems outside the scope of the Customer Service Representative to the appropriate Sales Representative, Department, or Manager for prompt resolution and total customer satisfaction. + Recruit customers to utilize our online order portal. + Handle miscellaneous projects as assigned by the Director or Team Lead. + Periodically touch base with customers to see if they need quotations or orders. Essential Skills + A minimum of 2 years of customer service experience in the manufacturing industry. + Experience with ERP systems. + Proficiency in Microsoft products: Excel, Word, and Outlook. + Strong communication skills, both written and oral. + Detail-oriented and accurate. + Ability to work well in a team environment. Additional Skills & Qualifications + A college degree is preferred but not mandatory. + Spanish-speaking is a plus but not mandatory. Work Environment This role is primarily office-based with the rest of the team. A hybrid schedule can be accommodated if desired. The work environment supports a collaborative team setting, utilizing modern office technologies and ERP systems. Pay and Benefits The pay range for this position is $49000.00 - $50000.00/yr.
