Business Support Assistant, Corporate Legal Solutions  
Location: Guernsey
Schedule: Monday to Friday 36.25 hours per week

Intro:

As part of a centralised team the Business Support Assistant, CLS will provide high level, comprehensive and confidential administrative assistance to support two board level directors and the wider senior management team, in particular supporting business development and commercial activities.

Our aim is to provide a seamless, efficient, and paperless service to internal and external clients with service excellence at the heart of all that we do.

Some of the things you will be doing:

Maintain business development calendars, schedule, plan and organise logistics for meetings/events (both internal and external)/conference callsPrepare/review/summarise/proof-read/distribute presentations, agendas, reports, documents and correspondenceTravel and itinerary co-ordination, providing an end-to-end serviceAct as the focal point between internal and external stakeholders and determine appropriate courses of actionCo-ordinate and partake in project-based workAssist with reasonable tasks associated with the role, including working closely with and assisting other team membersSet up, attend and record action points for team meetings (management / all team) for directorsProcess expenses for directors Assist with financial and new business management informationOrganise logistics for business development and client meetings Ensure the CRM (Salesforce) system up to date and track the new business pipelineAssist with new business proposals and pitch documentation for prospective clients and/or intermediariesWork as part of the team to provide administrative and office support Assist with internal and external event planningCo-ordinate and partake in project-based workAssist local committees such as (but not limited to) social, CSR, Diversity & Inclusion etc. Ensure that all work is conducted in accordance with Group internal proceduresEnsure the shared electronic filing system is accurately kept up to date

What technical skills, experience, and qualifications do you need:

A positive, open, collaborative, “can do” attitude.  Self-motivated and highly professional, with the ability to take on responsibility and proactively find solutions to suit all partiesAbility to work proactively, anticipating needs, managing workload independently with little supervision and achieving goals and deadlinesExperience in a similar role with exposure to supporting senior leadershipTo maintain the highest standards of confidentiality and security Monitoring your own performance against personal and development targetsBe adaptable and flexible in approach Effective team player who is able to work well as a team and on their ownAn understanding of and enthusiasm for supporting professional business development activities Excellent systems knowledge to include experience working with CRM systems such as SalesForce and online proposal generation tools Experience in organising smaller adhoc client events and entertainment An awareness of working across different time zonesStrong academic backgroundHave an intertest in commercial and new business Advanced knowledge of Microsoft office (PowerPoint) product suite, internet and email systemsExcellent organisational and planning skillsExceptional interpersonal, communication and networking skillsOutstanding attention to detail and accuracyExcellent client relationship building skills
