Business Unit Administrator

We are looking for a Business Unit Administrator to partner with the Houston market leadership in supporting a growing and vibrant wealth management business. You will work alongside the Sr Managing Director providing daily support and advice in a fast moving and energetic business.

The Business Unit Administrator will be a main point of contact for clients and visitors, ensuring professional and efficient interactions. This role is key to maintaining an organized office environment and supporting our Houston leadership with administrative tasks.

You will provide advice around calendar scheduling, and the most efficient use of time. In addition, interface with clients, board members, key executives, and all levels of employees providing the best experience and appropriate discretion while doing so, based in the Houston, Texas office. 

The key responsibilities of the role include:

Handle incoming phone calls, handle incoming/outgoing mail, deliveries, and office supply inventory.Perform general administrative duties: document preparation, filing, and data entry.Manage conference room schedules, appointments, and meeting logistics.Maintain office calendar, coordinate meetings, and manage catering and parking for visitors.Support Partners with travel arrangements, expense tracking, and onboarding tasks.Partnership to deliver the highest quality interactions through events and meetings. This includes board meetings, leadership offsites, planning sessions, visits from executives, and client gatherings.Meeting planning and travel arrangements and overall optimization of the office, this includes management of a fluid and dynamic calendar and prioritizing meetings and travel as well as proactive advance scheduling of key meetings. Act as a strategic partner, helping advise and prioritize competing tasks and high-priority items.Process and review expense reports.
