Calibration And Preventative Maintenance Administrator
Calibration and Preventative Maintenance Administrator Job Description Support the Site Instrument Officer and Site Preventative Maintenance Officer during the execution of the Calibration and Preventative Maintenance (PM) Program. Ensure compliance with all Calibration and Preventative Maintenance Program Procedures. Using the Computer Maintenance Management System (CMMS), administer the review of work orders in compliance with procedures and practices. This includes asset data entry and revisions, such as updates to asset status, job plans, and data sheet revisions. Responsible for uploading and maintaining appropriate calibration and PM documents. Perform asset data entry using CMMS forms, ensuring necessary signatures and routing via Adobe Signature. Review, sign, and upload completed forms in CMMS. Affix asset labels when necessary. Generate and distribute monthly Calibration and PM work order reports to end users and the CAL/PM Team. Generate metric reports and other relevant reports in CMMS to assess program performance and identify areas for improvement. Collaborate with end users and vendors to coordinate the shipping and receipt of assets for servicing, ensuring that calibration and PM documents are collected for accurate CMMS updates. Escort vendors when necessary. Initiate Calibration and PM non-conformances. Provide backroom support for internal and external audits and investigations related to Calibration and PMs. Provide regular communication with Engineering and Quality representatives as necessary to assist in resolving calibration and PM issues. Responsibilities + Support the Site Instrument Officer and Site Preventative Maintenance Officer during the execution of the Calibration and PM Program + Ensure compliance with all Calibration and Preventative Maintenance Program Procedures + Administer the review of work orders in CMMS in compliance with procedures and practices + Perform asset data entry and revisions in CMMS + Upload and maintain appropriate calibration and PM documents + Generate and distribute monthly Calibration and PM work order reports + Generate metric reports in CMMS to assess program performance + Coordinate shipping and receipt of assets for servicing + Initiate Calibration and PM non-conformances + Provide support for internal and external audits and investigations + Communicate regularly with Engineering and Quality representatives to resolve issues Essential Skills + Project coordination skills including time management and prioritization + Proven experience with a degree in a science-related field preferred, or a high school diploma at minimum + Pharmaceutical and/or GMP experience preferred + Experience with CMMS or similar software preferred + Experience in a technical administrative role + Proficiency in Microsoft Office applications + Computer proficient + Detail-oriented and organized + Ability to work independently in a regulated environment + Effective communication skills + Knowledge of Good Documentation Practices and Good Manufacturing Practices Additional Skills & Qualifications + Ability to thrive in a fast-paced environment + Experience in consumer products, pharmaceuticals, personal care industries, or other regulated environments is preferred but not required + Proven ability to perform as an individual and team contributor Work Environment The role is on-site five days per week, Monday through Friday. The work environment involves interfacing with multiple disciplines including Engineering, Quality, and Calibration and PM personnel.
