Camp Retreats Coordinator

Job Summary:

 

Reporting to the Camp Director, the Camp Retreats Coordinator is responsible for planning and implementation of all community partner retreats and field trips at Camp Whitcomb/Mason. The Camp Retreats Coordinator supervises year-round AmeriCorps volunteers, a seasonal team of program AmeriCorps members and volunteers. The Camp Retreats Coordinator is responsible for retreats daily operations with the primary focus for scheduling, food service coordination with caterer, service delivery, quote preparation, and customer service to community partners.

 

Responsibilities:

BGCGM Culture 

Demonstrate and communicate the Boys & Girls Clubs of Greater Milwaukee (BGCGM) philosophy, objectives, standards and programs through all methods available to retreat youth and adults, staff members, volunteers and the general public.   Provide quality program activities that are inclusive, welcoming, respectful and responsive to the diversity of members, families and community. Provide quality customer service to all retreat groups and camp participants.

 

Leadership 

Implement activities and events on annual camp calendar.Recruitment of retreat groups including marketing and camp tours to promote camp spaceSupport all rental groups with planning, scheduling, and fee schedules prior to arrive and on site with scheduling, programming, site & safety orientation and facility needs.

   

Coordinating a Safe and Positive Environment

Understand and follow BGCGM policiesImplement a culture of safety for staff, volunteers, retreat youth and adults, visitors, members, and daily operations.  Communicate emergency procedures to all using facility through safety orientation.Ensure proper documentation of all issues and incidents related to retreat and event participation.Implement systems to train, review and document skills mastery of staffParticipate in required trainings by the BGCGM, American Camp Association Standards, County, State and/or funder.Train and regularly update camp hosts in their weekend and hosting dutiesResponsible for the compliance training requirements/regulations and documentation for American Camp Association and State Licensing Codes ATCP.78.

 

 

Program Planning and Management

Lead, create and evaluate Program development and implementation for school groups, retreats, and rentals.Develop and evaluate quality program opportunities that are appealing to retreats and camps to include in their contractsMaintain retreat and special equipment rental inventory including repairs/replacements needed.Responsible for retreats registration system and data including Camp Brain annual setup.On-duty weekend staff member in a rotation with colleagues to provide service to weekend rental groups.  

 

Camp Operation and Administration

Develop and maintain handbooks and communication for community partners.Provide quotes, sample schedules and tours to community partners interested in using Camp Whitcomb/Mason.Site and equipment coordination for special events, including S’More Fun at Camp eventWork within compliance of grants as awarded to Camp Whitcomb/Mason, such as the AmeriCorps grant.

 

Education and/or Certification Requirements:

Bachelor’s Degree required or 5 years of experience directly related to retreats and hospitality industry and property rentals, and staff supervision Certifications required or ability to obtain within 6 months of employment:Lifeguard and professional rescuer CPR/AED certificationNASP (Archery Course)  ABEE High Adventure Ropes Course Level 1 certification

 

            

Skills and Experience:

Ability to keep youth ages 5-18 enthusiastically engaged in activitiesWorks effectively with families from a variety of diverse backgroundsGood written and oral communication skills and ability to communicate effectively with retreat youth and adults, parents, venders, donors and volunteers

While performing the duties of this job, the employee is regularly required to sit and use hands to touch, handle, or feel.  The employee is occasionally required to stand and reach with hands and arms.  The employee must occasionally lift and/or move up to 30 pounds.  Specific vision abilities required by this job include close vision, distance vision, and ability to adjust focus.  Employee must have the ability to work in all seasons of weather outside and walk up to .5 mile over uneven terrain. Capable of appropriate and sustained mental, emotional and social interactions in our constantly changing, youth-centered and community living camp setting.

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  The noise level in the work environment is usually moderate but peaks high during all-camp functions and meals.  Throughout the year the employee is working in spaces with and without air conditioning and working in close proximity to team members.
