This role reports to the Chief Procurement Officer (CPO) and is the Chief Administration Officer (CAO). The CAO works closely with the CPO and will assist with strategic planning, staffing management, project management budgets, and department communications.

The CAO will sit on the Global Procurement leadership team and act as a point of contact for the CPO by facilitating leadership meetings, overseeing department projects and key initiatives, managing the department communication plan, and guiding staff. The focus on the role is on execution of strategic direction of the groups function activities. The CAO carries out complex initiatives involving multiple disciplines and/or ambiguous issues. Displays a balanced, cross-functional perspective, liaising with the business to improve efficiency, effectiveness and productivity.

Job Description:

Strategic Planning

Participates in developing the Global Procurement strategic plan; sets goals and priorities based on the direction and follows through to ensure that objectives are met.Along with leadership, performs market analysis, benchmark and or peer comparison to transform and optimize the vision of a best in class organization.Orchestrates 3 year Strategic Delivery Roadmaps aligned to North Star, best in class organizational objectives.

Staff Management

Provides guidance to internal staff on behalf of the CPO to ensure alignment and accountability.Assists with escalation management to ensure clear path of resolution.Orchestrates leadership team meeting agenda, and tracks meeting outcomes to completion.Leads department recognition programs, encourages positive and inclusive partner experience focusing on participation, teamwork and communication.Supports the department talent management and succession planning efforts in partnership with the leadership team.

Portfolio and Project Management

Ownership of project intake and prioritization processes aligned to strategic priorities.Directs the development of programs, policies and best practices, and corporate/administration services to enhance the procurement function.Provides oversight of Key Initiatives reporting and metrics to ensure progress towards strategic priorities.Leads strategic projects as directed by the CPO.

Financial Management

Manages and oversees the financial plans and processes for the global teams on budget and tracking, capital and expense.Supports organization headcount management and staffing plans aligned to the financial plan.

Communication Plans

Develops and executes a comprehensive internal department communication plan and company-wide marketing campaign (including branding and communication) aligned to the global procurement 3 year roadmap.Organizes department townhalls, training, and enrichment activities to ensure alignment to strategic priorities and ongoing partner development.  (Deck preparation, rehearsal, etc).

Qualifications:BS/BA degree in Business Administration or related disciplines or equivalent years of experienceMinimum of 10+ years of related experience in a Chief of Staff, Program Management, or Procurement leadership role working with third party suppliers in a highly regulated industry. Ability to think and act strategically and creatively, while having strong business acumen and the ability to develop and drive the strategic plan for the business unitOutstanding analytical and problem-solving skills to navigate ambiguity and drive plans forwardAbility to influence activities across multiple teams to drive alignmentStrong networking ability to develop internal and external networks based on integrity and credibility through active listening and understandingOutstanding writing, communication, and development of executive presentationsExperience creating and tracking metrics (OKR, KPI) to gauge progressAbility to work in a dynamic and fast paced environmentProven experience as a team lead, team management, resource planning, designing corresponding department job descriptionsExceptional organizational skills and ability to manage multiple priorities simultaneously
