Job Description

The Encore Boston Harbor Coordinator of Catering & Banquets will be responsible for greeting guest warmly, answering phones professionally, confirming appointments, expeditiously handling walk-ins, maintaining cleanliness of office area, and assisting Catering and Restaurant Events managers and directors with all tasks, including typing, filing, photocopying, distributing, faxing, mailing, assisting with corporate and social clients on a daily basis while treating all confidential information appropriately, and maintaining all Encore Standards; and ensuring excellent guest and team member experience. 

 

JOB RESPONSIBILITIES:  

Adheres to all Encore Boston Harbor core values and property and department standards. Actively contributes to the departmental performance, and the accuracy, confidentiality, and thoroughness of departmental policies and procedures; records and reports.Follows all applicable internal policies, federal and state laws, rules, regulations and controls property wide.Delivers and maintains a maximum level of property-wide service and satisfaction. Contributes to company-wide communication and best practices.Assists in providing training opportunities for team members.Keeps informed of all new developments within the department.Delivers professional internal and external guest service, which may require levels of patience, tact and diplomacy.Balances multiple priorities simultaneously and meets deadlines, often in stressful and high-pressure situations.The Catering & Banquets Coordinator directly assists 2-3 Catering Managers/Restaurant Group Sales Managers/Directors in all aspects of event planningCreates and confirms Catering Event Orders/Restaurant Event Orders based on event specificationsManages business calendars and maintains client correspondence recordsAnswers the phone for catering/Restaurant inquiry calls and communicates general catering/restaurant information to existing or potential clientsCommunicates professionally with internal and external business communication, both written and verbalIs responsible for managing/routing high volume multi-line telephone calls and taking message.Accountable for typed correspondence.In charge of making photocopies, sending and receiving faxes.Assists with special projects and other requests from management. Works with safety as a priority and follows department and company safety standards.Maintains relevant knowledge of industry through continuing education and training.Performs any other job-related duties as assigned.

Qualifications

JOB REQUIREMENTS:

Age, Gaming and Certifications:

21 years of age or above.

Will be required to obtain and maintain registration or a license issued by the Massachusetts Gaming Commission.

Education and/or Experience: 

High school or equivalent degree preferred.  Bachelor’s Degree in a related field or equivalent experience preferred.

 

Candidates must be able to communicate, read and write in English fluently and in a professional manner.  Second language a plus.

Previous work experience as receptionist, secretary or other administrative position in a high-end, luxury environment is preferred.

Experience with multi-line phone system a plus.

Must be proficient in computer systems: including MS Office, Outlook.

Knowledgeable of Delphi and Guest Bridge a plus.

Requires the ability to follow directions and work efficiently within a team environment.

Requires general computer skills and basic knowledge of Microsoft Office.

Must possess outstanding organizational, interpersonal, and administrative skills, as well as excellent attention to detail.

Knowledge of union as well as non-union working environments preferred.

Additional knowledge specific to the job if necessary.

 

Language Skills:

Ability to read, analyze, and interpret documents, such as policy and procedure manuals, maintenance instructions, and other related documents.  Ability to respond to common inquiries from other employees or guests. Fluency in English required, second language a plus.  Ability to write detailed instructions and correspondence.  Ability to effectively present information in one-on-one and group situations.

Mathematical Skills & Reasoning Ability:

Ability to compute basic mathematical calculations. Ability to decipher various reports and maintain reports upon request.

The noise level in the work environment is typically moderate.  When on the property or some back of house areas, the noise level increases to loud.
