The Opportunity: 

Catering Coordinator

  

Who We Look For: 

Responsible for providing administrative and sales support to the Catering Managers and Director while being familiar with all aspects of the catering planning process. Assist in the organizing of social and corporate events and act as a liaison with the resort’s Department and Division Heads in planning internal Four Seasons meetings. Provide back up support to the Conference Services and Sales Teams. 

 

Essential Functions: 

Receive, qualify and assign incoming telephone leads in accordance with Four Seasons Standards 

Receive other incoming phone calls and assist with overflow calls for Sales & Marketing, Food & Beverage, and Executive Office. 

Receive and assign catering leads via the other lead generating sources. 

In the absence of Catering Management, assist clients and seek out solutions to requests in a friendly, caring and helpful manner. 

Prepare accurate catering proposals and contracts, using Golden, MS Word and Adobe PDF. 

Prepare all collateral, gifting and function rooms for incoming site inspections, planning visits, client entertainment and menu tastings. 

Answer client correspondence as needed by Catering Sales Team to provide sales support. 

Prepare accurate written correspondence including emails, contracts, invoices, rooming lists, banquet event orders, schedule of events, printed menus using MS Word or Publisher, Golden, and Outlook. 

Maintain Golden S&C accounts, including deposit schedules, creating and updating bookings, manipulating events in the function diary and the preparation of Banquet Event Orders. 

Facilitate all aspects of internal events. 

Complete distribution of Catering correspondence to the resort operating departments as required. 

Reserve, order and reconfirm rental items, as directed by the Catering Sales Team. 

Collect, process and pay invoices. 

Maintain the various Catering file systems, both electronic and paper, including Account Files. 

Operate a variety of electronic and manual office resources, including but not limited to laser printers, multi-function copy machines, fax machines, Vocera. 

Comply with Four Seasons standards for sales and marketing, while working harmoniously and professionally with co-workers and Planning Committee. 

Respond according to the crisis management plan to any resort emergency or safety situation.   

Comply with Four Seasons Category One and Two Work Rules and Standards of Conduct as set forth in EmPact. 

Periodically assist with front of house operations including greeting and directing guests, staffing hospitality desks, and working with Banquets during crunch times. 

Perform other tasks or projects as assigned by hotel management.  

Maintain an inventory of all standard department supplies and printed collateral materials, including but not limited to Catering wedding packets, special menu cards, amenity cards. 

Perform all tasks in the absence of the Conference Services Assistant, Sales Assistants or Delphi Key Operator distribution tasks. 

Participate in scheduled departmental and administrative meetings as requested. 

 

Knowledge and Skills: 

 

Education:  College education preferred 


Experience Pre-Requisite:   

A minimum of 2+years of previous hotel/resort experience required.Candidates without this experience will not be considered.  *F&B, catering or sales experience with administrative skills strongly preferred. 

 
Skills and Abilities:     

Excellent reading, writing & oral proficiency in the English language.              Exceptional organizational skills.      Attention to detail.          Ability to multitask while staying focused on all details. Must be able to type 40 wpm. Required clerical responsibilities include typing, filing, scanning, photocopying. Able to handle a large volume of telephone calls in an efficient and courteous manner. Proficient in MS Word, Excel, Internet, Outlook, and ability to learn Golden Sales & Catering (ie. Delphi). Food and Beverage knowledge is a plus. Work well under pressure, requires multitasking and being a team player. Strategic thinker.
