About the role

The Catering & Events Manager coordinates all requirements for various groups booked by Sales Department. Responsible for enforcing the terms of group contracts and guiding group planners and DMCs through planning process. Communicates the needs and expectations of the client with all departments in the resort and ensures successful execution of group and client satisfaction.

What you will do

1.    Negotiate with clients through the use of creative and attractive menu presentations and event proposals, to achieve both maximum revenue/profit potential and fulfilment of contractual responsibilities while satisfying client needs.
2.    Coordinate with Sales Department and Events team to insure proper utilization of function space to yield maximum revenues.
3.    Finalise the requirements of confirming bookings while maximizing revenue potential through up selling and ensuring effective communication both written (Group Resumes, BEO, Daily Reports) and personal contact with all departments for the success of the event. Maintain an active trace/follow-up system. Ensure accuracy of Banquet Checks and provide bill review on completion of program or event. 
4.    Supervise the execution of events. Review all function space with Events team and when necessary head house attendant. Ensure satisfaction of client at the outset of all events. 
5.    Plan and/or attend and/or participate in meetings with resort team and clients, including but not exclusive to: Morning Briefing, Pre-con and Post-con Group Resume Meeting, Operations Meeting, Planning Visits and Menu Tastings. 

6.    Comply with Four Seasons standards for group and conference services, while working harmoniously and professionally with colleagues and planning committee. 
7.    Find solutions to the inevitable challenges and glitches that arise while groups are on property and keep Director of Conference & Events and Planning Committee promptly and fully informed of all problems or unusual matters so prompt corrective action can be taken where appropriate.
8.    Maintain knowledge of resort facilities, capacities and dimensions of function spaces and basic operational needs of all operating departments as well as villa inventory and specifications. 
9.    Conduct site inspections for travel agents/clients and invite them for familiarization trips to the resort which could include entertaining them where required.
10.    Build new relationships with clients and develop new business opportunities through lead generation platforms, to handle and manage all in-coming groups and events inquiries in adhering to the service standards. 
11.    Communicate in a clear and concise manner to the resort when having special arrivals, providing details of our VIPs, including but not limited to preferences, arrival and departure timings, etc.
12.    Assist Director of Catering & Events to work with Director of F&B on planning and executing of Festive Events.
13.    Constantly up-to-date with competitor activities and being able to provide intel on the market when required.
14.    In the absence of Director of Catering & Events, join Sales Strategy meetings, F&B marketing and Revenue meetings, providing insights and following up on action points relating to agreed business segments.
15.    Assist with all inquiries within the sales, marketing and catering department, including assistance with high telephone volume and walk-in site inspections.
16.    Ensure good housekeeping of Sales and Catering system.  To supervise and monitor the compilation of accurate account information and to ensure this information is kept up-to-date and marked complete after completion of group.

What you bring

College/University degree required 2 -3 years relevant experience in 5-star or luxury leisure and MICE/wholesale markets.Reading, writing and oral proficiency in English. Any other languages is a bonus.Good personal & professional references.Working computer skills and knowledge including but not limited to Excel, World, Powerpoint, Delphi/Golden Sales & Catering, Internet and Opera.Luxury hotel/resort Sales preferred (minimum of 2 years).Proven sales and upsell track record a plus.

Schedule & Hours:

•    Full time, 44 hours however may required to work late based on client's need and 5 working day week with overlapping to cover weekends e.g. Wed - Sun or Tues to Sat. Schedule will take turns.
