About the Role
The successful candidate will be responsible for the administration and coordination of cellar operations, including invoice processing, stock reconciliation, supplier liaison, and compliance monitoring. Working closely with internal teams and external suppliers, the role requires excellent organisational skills, attention to detail, and the ability to work efficiently under pressure.Service Delivery:Ensure smooth service delivery to internal and external customers.Produce stock sheets and keep filing up to date.Build relationships with suppliers.Regularly update Safe Systems of Work for the Beverage Department.Administrative Support:Manage the Cellar office, keeping accurate records.Order stationery, uniforms, and manage access passes.Share supplier allergen updates with relevant teams.Liaise with departments on product stocking, pricing, and planograms.Update Write-Off Summary after stocktakes.Assist with SOP creation and review.Cellar Operations:Assist with stock-taking, procurement systems, and drink recipe cards.Ensure order accuracy and correct invoice pricing.Input inventory data and highlight recounts.Organize annual stock take and post-race spot checks.Generate internal and external stock cross-charges.Record cellar allowances like out-of-date stock and breakages.Order & Invoice Management:Log daily orders and manage goods receipt files.Match purchase orders with delivery notes and invoices.Resolve invoicing or credit note issues with suppliers.Record cleaning schedules and check deliveries.Health & Safety Compliance:Maintain H&S records and support training.Update risk assessments and collaborate with the HSE Manager.Report accidents/near misses to the relevant managers.Support operations during major events like Racedays and Royal Ascot.Skills & Experience Required:Strong organisational and administrative skills with excellent attention to detail.Proficiency in MS Excel, Word, and Outlook.Effective communication and interpersonal skills, with the ability to liaise with multiple stakeholders.The ability to work under pressure and to strict deadlines.A proactive and team-oriented approach.A passion for high-quality service delivery in the hospitality sector.What We Offer:The opportunity to work at one of the world's most prestigious racecourses.A dynamic and collaborative working environment.Employee wellbeing programs and professional development opportunities.A commitment to sustainability and diversity & inclusion initiatives.If you are a motivated and detail-driven professional seeking a rewarding role within a world-class venue, we invite you to apply today. Salary: £14 per hour.
Contract type: Fixed period from 1st April - 29th August 2025.
Hours: Monday - Friday 8am - 4pm. Please note some requirement for weekend support.
