The Department of Interdisciplinary Stem Cell is currently seeking a full time Center Administrator to work in Miami. The Center Administrator oversees the management and administrative support functions. The incumbent on this role works with leadership to meet the needs and ensure that the organizational structure is operational. Moreover, this employee develops short- and long-term plans for financial forecasting, budgeting and management, human resources, facilities, and research and grant funding. Additionally, the incumbent assumes responsibility for developing and expanding programs for scientific research, preventive medicine, medical and vocational rehabilitation, and community health and welfare.

CORE FUNCTIONS

Provides leadership with the identification of obstacles that impede the center’s progress and develops administrative vehicles to overcome these obstacles. Assists in developing substantive changes in institutional policy and procedure and familiarizes faculty, staff, and constituents with these.Directs the communications, media relations, and public information programs designed to further the mission of the Center. Coordinates medical communications to maintain accuracy and consistency.Works with the Center’s faculty and staff to identify key issues and strategies and incorporates these in an effective and consistent public relationship program.Meets the center’s faculty and staff on a routine basis to keep abreast of research, treatment, and academic activities. Develops and maintains media contacts and scientific media in local, regional, national, and international markets.Assists in generating evaluative data on special and target programs and develops administrative solutions to ensure their seamless operation.Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.Ensures employees are trained on controls within the function and on University policy and procedures.

Bachelor’s degree in relevant field

Minimum 5 years of relevant experience

Department Specific Functions

Strategic Administrative Leadership:Provide executive-level administrative support to the Institute’s Director and leadership team, ensuring smooth and efficient day-to-day operations.Lead and manage the administrative team, developing workflows, procedures, and best practices for effective management.Assist in the development and execution of strategic initiatives and long-term goals.Serves as administrative delegate for the Director of the Interdisciplinary Stem Cell Institute in their absence.Regularly Liaise communications from leadership to faculty and staff as needed.Financial & Budgetary Management:Oversee the preparation and management of the Institute budget, including forecasting, analysis, and financial reporting.Monitor spending on research projects, ensuring compliance with grant requirements and institutional policies.Collaborate with finance teams to ensure appropriate allocation of funds for lab equipment, resources, and personnel.Provide financial guidance to the leadership team on grant funding opportunities and long-term financial planning.Regularly monitors and analyzes financial performance, preparing reports and forecasts for leadership.Prepare and monitor financial impacts of RVU’s, insurance reimbursements and costs of clinical operations to ensure annual UHealth metrics are met.

Research & Grant Support:Assist faculty and researchers in preparing grant applications, ensuring accurate budgeting, compliance with grantor requirements, and timely submission.Monitor ongoing research grants, coordinating progress reports, and financial reports for funding agencies.Act as a liaison between faculty, research staff, and institutional offices for research compliance and reporting.

Human Resources & Personnel Management:

Initiates all job postings, promotions and compensation adjustments for all faculty and staff. Manage recruitment, hiring, and onboarding processes for staff and faculty in the department, including visas, job postings, promotions and compensation adjustments.

Oversee the recruitment, hiring, credentialing and onboarding of administrative, research, and technical staff.Coordinate performance evaluations, training, and professional development programs for staff.Advise leadership and faculty on personnel matters, including conflict resolution and policy compliance.Collaborate with HR and Faculty Affairs to ensure adherence to institutional policies and regulations for all employees.Regularly monitor and manage provider and investigator performance against UHealth and UMMSOM incentive plans.

Operational  and Space Management:Ensure the efficient operation of laboratories and research facilities by overseeing procurement, maintenance of equipment, and compliance with safety regulations.Work with laboratory managers and researchers to optimize resource use, scheduling, and collaboration within the institute.Manage, monitor and allocate space for all researchers, clinicians and providers ensuring compliance with UMMSOM and UHealth guidelines and policies.Compliance & Regulatory Oversight:Maintain awareness of relevant federal, state, and institutional regulations, ensuring compliance in all areas of research, finance, and personnel management.Work closely with institutional research compliance officers to ensure the ethical and regulatory standards for stem cell research are met.Ensure departmental activities comply with all institutional, state, and federal regulations, particularly in research and clinical studies.Maintain up-to-date knowledge of compliance standards, advising leadership on necessary updates or changes.

External Relations & Collaboration:Foster relationships with external stakeholders, including donors, collaborators, and government funding agencies.Support fundraising initiatives by providing administrative assistance for grant proposals, donor relations, and development activities.Coordinate communications with external research institutions and partners to promote collaborations and interdisciplinary research efforts.

Liaise with Development Officers in order to cultivate, gift funding intended for research and clinical outcomes
