Central Supply/Medical Records PRINCIPLE FUNCTION: Performs activities associated with the receiving, storing and of disbursing supplies. CENTRAL SUPPLY CLERK DUTIES AND RESPONSIBILITIES: + Receive deliveries into building, checking packing slips to purchase orders for any discrepancies. + Organize and coordinate functions relative to receiving, storing and inventory control of the supplies utilized throughout the facility. + Maintain the Central Supply area in an organized fashion, reviewing expiration dates and restocking routinely. + Ensure needed supplies are delivered as ordered, in good conditions and on time. + Restock each unit’s stock room, as well as any other indicated storage areas, according to the par levels indicated daily. + Utilize the Tels system to respond to product needs throughout the facility, updating status continually. + Deliver and pick-up equipment and indicated as requested or indicated on the Tels system. + Maintain a supply requisition system to monitor product utilization and abuse. + Implement and maintain established Facility’s departmental policies and procedures and assure compliance with requirements for regulatory agencies. + Perform other duties as requested. PHYSICAL REQUIREMENTS: Lifting, bending, squatting, pushing and pulling. CENTRAL SUPPLY CLERK QUALIFICATIONS: 1. High School Diploma 2. Familiarity with inventory and receiving systems, the use of purchase orders, bills offloading, freight bills. 3. Must be organized and conscientious. 4. Must be computer literate. 5. Must have working knowledge of spreadsheet (Excel) programs + Prepares and maintains residents' records in an orderly, efficient manner and in accordance with accepted professional standards and practice. + Retrieves and files record information within the resident's record in accordance with medical record order in a timely manner. These include but are not limited to lab x-ray reports, consultant's reports, etc. + Assists in purging medical records, as needed. + Review medical records of all discharged residents within seventy-two (72) hours of discharge to ensure that it is complete, systematically organized and readily accessible. + Prepares records for review and/ or release of information to properly authorized individuals or agencies in accordance with Federal and State laws and in compliance with HIPAA (Health Insurance Portability Accountability Act). + Conduct audit of closed medical records using audit tool and submit report to Director of Nursing Services or designee. + Photocopy relevant documentation from discharged medical record and forward to new medical record of a previously discharged resident, when applicable + Coordinating with physicians/medical personnel Qualifications/Requirements: + High School Diploma + 1-3 years clerical/ office experience in a healthcare environment + Familiarity with medical terminology + Ability to work together with all staff members + Computer/ Keyboarding skills + ICD 10 knowledge/certification
