The Centralized Project Specialist - Sr. Analyst is responsible for a broad range of activities to support our business operations. This position will report to and work closely with the Manager of Finance Operations, Project and Contract Set-up Teams as well as interact with Practice Operations Partners

Position Summary

Proactively interacting with the practice to initiate actions on projects or project time entry to ensure timely project cost and revenue recognitionPlay a key role in the management of new and existing project records, includingTime Entry Analysis and System time entry UpdatesFollow up on missing Time Entries and Projects due for closureOpportunity Record UpdatesProject ClosureMissing Bill RatesTime Pending Project Manager Approval (CW Time or CAPEX)Time Pending Manager Approval (PTO)Update Forecast Pending PM ApprovalsMissing TimeUpdating and adding resource positions as per request from Project Managers/Operations Team.Correction of Project Start and End dates as per request from Project Managers/Operations Team.E-mail and personal interactions with consultants and Project ManagersPerform various ad hoc analysis and reportingWork closely with Practice Ops Managers on Operations Reporting Analysis.

Project Closure

Notifying project managers on project end dates and activities that need to be completed before a project can be marked as completed.Ensuring all the criteria (Transactions awaiting reviews, Open invoices, Deferred revenue balance) are checked before marking a project as completed.Updating end date of Projects after proper confirmation from Project managers and updating the same to Contract Setup team for their action.Must have knowledge of all functional project related items.

Role Assignment

Following up on Missing roles under a project (PM, MD).Updating roles under a project as when request is received from business.

Project Activation emails

Sending out emails to PMs notifying them a project is active. Providing Start/end date of project, Contract value, project arrangement types etc.

Review Worker Time Tracking EligibilityWorker Job/Status/Location Change AuditNon-Standard Work Schedule AssignmentAudit of Workers on Leave/Time OffTerminating Worker Time AuditMulti-Position/Project AuditTime Tracking Validation – Payroll PreparationFollowing up with Resources on their Missing Time entries across the company.Entering bulk timesheet entries on Worker’s behalf.Responding to ad hoc queries on Time sheet related issues.Preparing bi-weekly missing time report, for leadership’s visibility and action.Following up with Resources on their Missing Time entries across the company.Entering bulk timesheet entries on Worker’s behalf.Responding to ad hoc queries on Time sheet related issues.Preparing bi-weekly missing time report, for leadership’s visibility and action.Must have knowledge on the importance of Timesheet entries and how it impacts on billing and revenue generation.

Missing Bill Rate Follow ups and Updating Bill rates

Following up with Project managers on missing bill rates of resources.Taking up requests from business to add/update/edit bill rates.Must have knowledge of reading contracts/SOW/Project related documents. Concept of Bill rates and cost rates.

Knowledge on Service Now

How to assign / re-assign / add comment / send email.

Forecast and Utilization reports

Preparing reports on forecast and Utilization for our engagement teams and business leaders. Must have knowledge on Advance Excel.

Qualifications

1-2 Years of prior work experienceBachelor’s Degree required, fields of Business, Finance, M.B.A.(Finance) or accounting preferredUnderstanding of PMO/FP&A BasicsExperience in customer service or financial transaction functions is preferredExperience in a team environmentAbility to communicate effectively with all levels in the companyProficient in written and verbal communication.Strong customer service aptitude and ability to proactively work with leadership to address challengesStrong analytical and problem-solving skillsOrganized and detail-orientedAbility to manage multiple tasks simultaneouslyThe ability to learn quickly, work independently and meet deadlinesStrong computer skills including Microsoft Excel and experience in other Microsoft products (PowerPoint, Word, SharePoint).  Other analytics or database tools including Salesforce and Workday a plus.
