SUMMARYThe Centralized Procurement Buyer assists the Manager with the purchasing of materials and services for FCS. Buying may include everything from drug and supply orders to services. As a procurement buyer, your job duties include maintaining purchasing guidelines for the office, establishing relationships with supply and service vendors, interacting with all levels of the organization and ensuring that all purchasing procedures are being followed.
Demonstrates working knowledge of all facets of role, relevant regulations, and organizational and departmental policies and procedures. Performs other duties and projects as assigned. Performs all duties in accordance with regulatory requirements and organizational policies and procedures.
All work with clinics to maintain the correct amount of drugs and supplies through daily orders, virtual audits and physical audits
ResponsibilitiesProcess daily purchase orders and assists through entire process.
Review and process daily purchase orders.
Follow up with tracking shipments, receiving and order confirmations.
Monitor deliveries and any past due shipments.
Communicate in a timely, clear and professional manner with all Vendors.
Works with vendors to setup, maintain, and close accounts as necessary
Access vendor files and vendor catalogues.
Serves as a point of contact for all purchasing inquiries from vendors and clinic personnel.
Maintain accurate data and prepare reports as needed
Navigate and document accurately in Microsoft Office programs and any additional y applications when needed.
Prepares correspondence, documentation, and presentations as needed.
Assist with weekly/monthly audits and reporting.
Complete daily tasks within the department assisting the manager as needed.
Interact with all co-workers, physicians, patients and others in a positive manner to illustrate FCS as helpful and encouraging to both internal and external customers.
Keep work area and records in a neat and orderly manner.
Maintain all company equipment in a safe and working order.
Maintain and ensure the confidentiality of all patient and employee information at all times.
May be expected to work overtime when given sufficient notice.
Follows all FCS and Federal/State regulations and maintains necessary records.
Comply with all Federal and State laws and regulations pertaining to patient care, patients’ rights, safety, billing, human resources and collections.
Adhere to all FCS and departmental policies and procedures, including IT policies and procedures and Disaster Recovery Plan.
Complete Fraud Waste and Abuse Training as required by law and all other training assigned by management.
Drug and Inventory Management Team: To assist in the purchasing and inventory management of Drug.
Review and process daily purchase orders for drugs needed at each clinic via the Nucleus portal. The calculations are based on need vs quantity on hand in Nucleus cabinet.
Check receipts from the 3PL warehouse to ensure all orders have been sent through.
Handle all day-to-day customer service inquiries from calls, emails and service tickets received from clinics regarding incorrect, shorted or defective items received, Nucleus changes, order placement, checking on backorders, tracking shipments, etc.
Keep all Nucleus machines updated with current item numbers.
Monthly virtual audits on all clinics’ Nucleus machines to identify short, dated inventory and overstock.
Analyze Nucleus reports to solve inventory issues.
Weekly audit of the 3PL warehouse inventory.
Services Team: To assist in the purchasing of Services
Coordinate deliveries and pickups between clinics and vendors.
Work with vendors to setup, maintain, and close clinic accounts as necessary
Meter mail and completes bin room tasks
Works with other departments to help ensure continuous service to clinics without interruption.
Handle all day-to-day customer service inquiries from calls, emails and service tickets received from clinics regarding incorrect, shorted, or defective items received, order placement, checking on backorders, tracking shipments, etc.
Supplies and Materials Team: To assist in the purchasing of Supplies and Materials
Review and process weekly purchase orders for medical, lab and office supplies for each clinic via the Envi System.
Handle all day-to-day customer service inquiries from calls, emails and service tickets received from clinics regarding incorrect, shorted, or defective items received, order placement, checking on backorders, tracking shipments, etc.
Follow up with tracking shipments, receiving and order confirmations.
Work with vendors on supply shortages, back orders, substitutions, and cancellations
QUALIFICATIONSEducation:
High school diploma required
Associate Degree is preferred
Certifications/Licenses:
Valid state Driver’s License for travel to satellite offices and offsite meetings. Compliance with the company Driver Safety Operations and Motor Vehicle Records Check Policy is required.
Previous Experience:
Three years of general office experience and some experience with accounting, purchasing or materials management is preferred.

Self-motivated and self-starter with ability work independently with limited supervision. Ability to work remotely effectively as required. Must be able to work effectively in a fast-paced, multi-site environment with demonstrated ability to juggle competing priorities and demands from a variety of stakeholders and sites.
Leadership and Mentoring: Effectively lead and facilitate group discussions, coach, mentor, motivate, and engage others to align to a common goal. Ability to effectively lead projects from inception through implementation and assessment.
Human Resources Management: Effectively hire, coach and support staff develop, as applicable, as well as manage resources, performance and employee relations, and supervise within established policies, procedures and legislation.
Computer Skills:
Proficiency in MS Office Word, Excel, Power Point, and Outlook required.
Proficiency in all Pharmacy Software Programs and Practice Programs preferred.
Travel: <25%
Standard Core Workdays/Hours: Monday to Friday 8:00 AM – 5:00 PM. Possible late nights/weekends needed and travel.
