Overview

To serve the growing needs of Pearson’s clients around the world, the Event Coordinator is responsible for supporting the Event Manager in the development, implementation and on-going management of exam delivery solutions.

The appointed individual will report to the Event Manager and will help establish and maintain event testing in the ANZ/SEA region. The Event Coordinator will assist in researching, identifying and negotiating with multiple vendors from various fields to ensure adequate test delivery venue coverage and associated invigilation services.

It is the responsibility of the Event Coordinator to ensure that client program requirements are planned for and are appropriately implemented in all associated testing venues. This role is also involved in ensuring that quality and security requirements are met and that process improvements and increased efficiencies are identified.

Other responsibilities of the role include invoice and data collection/coordination, working to set timelines, planning and negotiating priorities. The Event Coordinator will liaise with other teams within Pearson organisations and external 3rd party suppliers. The Event Coordinator will ensure company and client quality standards are adhered to, ensuring effective communication and reporting internally.

Key Responsibilities

Responsible for supporting and implementing testing solutions for multiple events during the year

Support the Event Manager in ensuring that client satisfaction levels are achieved to a high standard and issues are recognised, documented and resolved

Liaise with the wider team, and agencies where appropriate, to help deliver successful testing events in the region

Work with the team to ensure adequate capacity is provided for test events and assist to develop contingency plans for each event

Supporting other initiatives as provided by the Event Manager where appropriate

Develop strong relationships with wider Pearson colleagues to maximise effectiveness of testing event coordination

Key Activities

Research, identify and secure testing venues and invigilators to meet the requisite footprint for testing events

Contribute to a range of exam preparation and delivery tasks

Work with the team to ensure the provision of appropriate training and supporting documents for successful exam delivery

Coordinate activities associated with the invoice payment process for 3 rd Party Suppliers

Essential Experience and Qualifications

Demonstrated experience with coordinating a range of event types and/or projects

Enthusiastic, energetic team player who has the ability to work on their own, whilst possessing the ability to seek assistance and/or escalate concerns when required

Ability to work positively within a wider team

Demonstrated experience in coordinating multiple tasks to meet deadlines

Ability to exceed customer expectations

Ability to adapt to new business practices and respond positively

Excellent English, both written and verbal

Fully familiar with the Microsoft Office suite and associated packages

Demonstrated experience working with Excel - intermediate to advanced skills

Ability to succeed under remote supervision

Excellent English, both written and verbal

Full valid and non-restrictive passport

Desirable Experience and Qualifications

Experience coordinating logistics associated with events or exam delivery

Invoicing and budget coordination desired

International work experience and cultural awareness preferred

Degree educated or equivalent preferred
