Position Summary
Reporting to the Executive Vice Provost/Chief Operating Officer, the Chief of Staff will provide strategic management of operational and administrative functions for the Dean’s Office. The Chief of Staff is a key member of the leadership team and serves as a liaison with other University counterparts. The Chief of Staff supervises the executive support staff to the Dean.
The overarching goals for the Chief of Staff are to enable strategic focus for the Dean, to align the Dean’s Office agenda with stakeholder leadership around the school’s priorities, and to ensure that the Dean’s objectives are understood, supported, and advanced. The ideal candidate will have academic/program management experience, with exemplary executive-level advising and interdepartmental collaboration.
Job Responsibilities Serve as a key advisor to the Dean and COO and participate in all key meetings with leadership as well as ensuring that the Dean and COO is appropriately prepared for all such al and external meetings. Proactively review the dean’s official calendar, personal calendar and research activities to manage time and resources in an efficient way. Prepare the Dean for all meetings and speaking engagements, coordinate necessary support resources, and capture follow-up items for response or closure. Support the Dean's workload and prioritize time by managing information flow, resolving issues, and providing analysis and advice on key issues. Establish efficient processes for the timely and efficient flow of information to and from the Dean's Office with internal and external stakeholders. Plan and manage standing leadership meetings and/or committees as well as gathering feedback and input to foster continued improvement. Partner with senior leaders and stakeholder groups, providing counsel to advance key initiatives. Ensuring accountable individuals are delivering necessary information and updates to the Dean and COO in a timely, complete manner, and that materials are of highest quality. Represent the Dean in various forums and respond to ad-hoc requests of the Dean’s Office. Act as the Dean’s representative internally and externally as requested and appropriate. Supervise administrative team members in the dean’s office. Other duties as assigned. Education Bachelor's Degree Master’s Degree Preferred Experience Bachelor’s degree and ten years of relevant experience, or combination of education and relevant experience. Master's degree, preferred. Prior experience in an academic or academic medicine setting preferred. Approximately 7-10 years of experience supporting an individual in an executive position. Knowledge, Skills and Abilities Exceptional attention to detail and written communication skills, including the ability to deliver high-quality written work-product under time pressure. Capable of navigating a complex organization, demonstrating strong interpersonal skills and emotional intelligence to influence and motivate Leadership across organizational boundaries. Compelling presentation skills and the ability to adapt quickly to new information. Ability to operate autonomously, anticipating the materials and substance that will be of interest to the Dean’s Office in advance of their being required. Prior experience initiating and managing large projects, driving them through to completion, while working with a broad range of stakeholders. Intellectually curious with the ability to take initiative and deliver results in a matrixed organization. Expertise in business and management software applications and databases with the ability to synthesize and analyze large quantities of data to create useful information and concise conclusions. Exceptional resilience and adaptability while maintaining good judgment; proven track record of engaging with senior executives and working with confidential information and changing priorities. The ideal candidate has a long-term commitment to Weill Cornell Medicine, possessing the knowledge to navigate the global organization and matrix in a highly resourceful manner. Results oriented and able to “roll-up the sleeves” to accomplish necessary tasks. Knowledge of sound supervisory practices and strong organizational skills.
