Civil Rights Case Administrator
GENERAL PURPOSE: Under the leadership and direction of the Director of Equal Opportunity Investigations, this position is responsible for the administrative management of all complaints related to discrimination, harassment, and sexual misconduct; maintaining accurate and complete records; and scheduling and coordinating meetings, interviews, etc. **RESPONSIBILITIES:** **_Reporting and Assessment_** + Monitors progress of Title IX complaints and cases related to discrimination, harassment, and sexual misconduct by maintaining regular contact with investigators. Shares progress updates with investigators for follow-up. (5%) + Maintains internal records related to case progress and provides updates to involved parties as necessary. (10%)Gathers documentation from investigators and uploads into the case management system. Tracks cases. (5%) + Designs, runs, analyzes and compiles reports based on data related to cases of discrimination, harassment and sexual misconduct. Provides regular reports to supervisor as to the number and status of new complaints and ongoing investigations. (15%) **_Scheduling_** + Acting as a point of contact for parties and witnesses involved in investigations, provides updates and other support as needed. (15%) + Maintains and abides by an up-to-date schedule of deadlines and other key dates in ongoing investigations. Provides regular reminders for upcoming deadlines to investigators. (10%) + Assists investigators and other staff with scheduling interviews and other appointments related to investigations. Acts as a point of contact for parties and witnesses regarding scheduling matters. (10%) **_Investigation Case File Management_** + Assists investigators and other staff with file management including, but not limited to: organization, file name formatting, completeness of file, sharing files with determination/appeal panels, and external investigators. + Creates and maintains detailed and confidential investigation files for new matters, in compliance with appropriate Policies and regulations. + Tracks documents, transcripts, and other information received in the investigations. + Formats, reviews, and tracks investigation transcripts for the investigations team. + Assists with preparation and sharing of documents and reports as necessary including, but not limited to: formatting, completes redactions as needed and watermarking. Assembles and disseminates resource materials as needed to students, faculty, staff and stakeholders. Other duties as assigned **QUALIFICATIONS:** + Associates degree required; + Bachelor¿s degree preferred. + One year of relevant experience required; + Two years of professional experience preferred; + or equivalent combination of education and experience required. + Intermediate knowledge of Microsoft Office including Excel, PowerPoint, Word required; + Strong communication and organizational skills required; + Ability to work independently and as part of a team required; + Experience with case management software (e.g. Worldox, Clio, MyCase, Advocate) preferred.
