Clerical Facility Coordinator (Contract)

We are seeking a reliable and detail-oriented Facility Coordinator to join our facilities Management team. This role is responsible for providing clerical and administrative support to ensure the smooth operation of facility maintenance and management activities. The ideal candidate will demonstrate strong organizational skills, excellent communication abilities, and a proactive approach to tasks. This position is based in the New Jersey office from 9 AM to 5 PM, Monday through Friday.
**Key Responsibilities:**
+ **Clerical Work:**
+ Perform various clerical duties related to facility management, including filing, organizing documents, and handling correspondence.
+ **Invoice Management:**
+ Assist with tracking and processing invoices.
+ Input invoices into OnBase for timely payment and ensure accurate records are maintained.
+ Monitor invoice statuses to ensure prompt payment.
+ **Order Management:**
+ Place orders for materials and supplies through vendors such as Staples and Grainger.
+ Maintain accurate inventory levels and ensure timely procurement of necessary materials.
+ **Work Order Management:**
+ Monitor and track work orders in the facilities ticketing system to ensure timely completion of facility maintenance tasks.
+ Follow up on open work orders to ensure progress and address any issues.
+ **Vendor Communication:**
+ Coordinate with external vendors for scheduling and tracking maintenance services.
+ Reach out to vendors as necessary to clarify service requirements, discuss issues, and confirm timelines.
+ **General Office Support:**
+ Perform additional administrative tasks as needed to support the Facilities Management team.
+ Assist in any ad-hoc duties that may arise.
**Qualifications:**
+ High school diploma or equivalent; additional certification or training in facilities management is a plus.
+ Previous experience in administrative roles or facilities management is preferred.
+ Strong organizational skills with the ability to multitask and prioritize effectively.
+ Proficiency in Microsoft Office Suite (Excel, Word, etc.) and experience with OnBase or similar systems.
+ Excellent communication skills, both written and verbal.
+ Ability to work independently and as part of a team.
**Work Environment:**
+ Contract: Monday to Friday, 9 AM to 5 PM.
**Additional Notes:**
+ The Facility Coordinator will work closely with the Facilities Management team, vendors, and internal stakeholders to ensure the facility operates efficiently and all administrative processes are handled accurately.
**Pay Details:** $19.33 per hour
