This role will focus on enhancing client relationships through effective communication and coordination, while also managing various operational processes to deliver on client needs. This role involves significant engagement in meetings, cataloging action items, and presenting progress updates to the executive team. Responsibilities Foster strong relationships with clients by providing day-to-day administrative support and addressing their inquiries. Collaborate with IT and Data teams to ensure client deliverables are met efficiently and accurately. Manage the reconciliation of contract store alignment, store assignments, and preventive maintenance (PM) records for client accounts. Coordinate with facility representatives to request and reconcile quarterly maintenance work tickets (WTs). Oversee the creation and tracking of PM work orders, ensuring timely completion and client satisfaction. Develop and maintain customer checklists and documentation to ensure accuracy and compliance. Reconcile work order (WO) data between customers and CLC, ensuring consistency and reliability. Liaise with billing teams to facilitate accurate closeout and submission processes for client accounts. Ensure alignment between contract billings and locations served, maintaining financial accuracy for clients. Manage quarterly payment file submissions, ensuring accuracy and timely delivery. Assist local teams in effectively managing subcontracted partners to meet client expectations. Track action items and communications from client meetings, transcribing notes for clear follow-up. Prepare and design PowerPoint presentations for client meetings, showcasing key information and updates. Serve as the point of contact for escalating and directing client data requests. Participate in regional operations and proactive program calls, providing insights and updates on client needs and feedback. Attends multiple meetings, documenting discussions, action items, and follow-ups with detailed notes. Presents progress on action items to the executive team, ensuring clarity and accountability Qualifications Proven experience in client relationship management or a related field. Strong organizational skills with the ability to manage multiple priorities and deadlines. Excellent communication skills, both written and verbal, with a client-focused approach. Proficiency in Microsoft Office Suite, particularly PowerPoint and Excel. Ability to work collaboratively with internal teams and external clients. Familiarity with reconciliation processes, data management, and billing practices is a plus. Strong typing skills and detailed note-taking capabilities are essential. Experience in managing meeting agendas, action items, and follow-ups effectively.
