Job Description:
The Clinic Coordinator-Transplant facilitates effective clinic organization and patient care by serving as a communication link between the patients, staff, physicians, hospital departments or other outside health care entities. Ensures compliance to CMS requirements for communication to families and donors. Develops and maintains systems for data management to meet requirements and for reporting to internal and external consumers of the information. May perform a broad range of responsibilities including: receptionist, scheduler, patient registration, chart acquisition, and telephone triage. Must use critical thinking and problem solving skills and provide backup assistance as necessary to carry out daily operations.Job Essentials
Clinic Scheduling: Ensures effective and efficient clinic flow. Coordinates clinic schedule by effectively scheduling appointments, collaborating with team members to support proper clinic load, and appropriately accommodating special needs. Finds resources to accommodate expanded clinic time, as necessary. Ensure an effective appointment confirmation process. Aids with insurance prior authorization for procedures.
Call Scheduling: Responsible for entry and maintenance of on-call schedule for staff and surgeons.
Records/Charts: Sets up and keeps complete, accurate and prompt medical records and other program documents in accordance with hospital, departmental, legal, and professional requirements.
Reporting: Develops and supports systems for data management to meet requirements. Ensures correct data entry for reporting to internal and external consumers of the information. Prepares quarterly QAPI reports to CMS, as well as weekly selection meeting reports. Care process reporting to ensure patient care values including labs, test results and care steps are available to Nurse Coordinators and LIPs.
Patient Contact: Performs patient care duties, including vital signs, heights, and weights within scope of licensure.
Correspondence: Creates correspondence to families, insurance providers, and others within requested period and develops other program documents as required. Ensure compliance with CMS requirements for communication with families and donors.
Compliance/Quality: Ensures compliance with departmental, clinic and corporate policies, procedures and best practices. Finds and appropriately manages compliance with regulations mandated by various federal, state or accrediting agencies. Names and implements best practices to ensure effective and efficient program operation.
Safety: Demonstrates focus on safety, adhering to all applicable safety standards including the National Patient Safety Goals and is pro-active in finding and correcting unsafe practices and conditions.
Physician Relations: Proves the ability to communicate effectively and collaborate with physician(s). Utilizes the chain of command appropriately.
Supplies: Keeps an adequate inventory of supplies, office supplies, patient education materials and equipment to meet clinical requirements.
Community Stewardship/Education: Understands and actively engages in their assigned role for a disaster response. It is flexible with work schedule and assignments to support patient care service needs. May also participate and manage community functions and/or educational activities.

Shift Details: Full-Time (40 hours) Clinic hours are 8:00 a.m. to 5:00 p.m. 8-hour shifts. No weekends or company observed holidays
Unit/Location: Pediatric Neurosurgery – Las Vegas, NV
Additional Details: such as daily responsibilities- This position is in the Desert Region and supports the daily clinic workflow in a Pediatric Neurosurgery Clinic setting to include Referral Management, Charge Capture and additional duties as assigned.
Minimum Qualifications
Provider BLS certification.
One year staff or customer service leadership experience utilizing computer skills including word processing, spreadsheet applications, email, appointment scheduling, registration, billing, and electronic medical records.
Demonstrated effective interpersonal and communication skills.
Ability to organize, prioritize and work independently on projects.
Demonstrated general office skills (i.e. typing, faxing, and filing).
Preferred Qualifications
Medical Assistant certification
Experience in a clinic coordinator or similar role including: scheduling, reception, medical records, filing, Medical Terminology and telephone triage.
Spanish speaking/interpreter skills
