Summary:

The Physician Clinic Manager supervises, organizes and coordinates activities of personnel and operations in physician clinics. Directly responsible for day-to-day scheduling of clinic staff; coordination and scheduling of patient visits; routine clinic business operations; and office communications, including patient and staff interaction and problem-solving activities. Also responsible for the performance of a wide variety of job responsibilities, which require the application of independent judgment and effective communication skills. Position expectations also include awareness and compliance with the organizations polices and applicable laws and/or regulations. The manager will also promote a cohesive structured unit that is hardwired for excellence.

Responsibilities:

Essential Job Duties and Responsibilities:

1. Creates and maintains a professional practice environment. Recognizes personal leadership style and adapts to situations appropriately. Demonstrates effective use of principles of management and supervision of staff.

2. Ability to provide oversight of the nursing process to assess, prioritize, formulate, implement, evaluate and adapt the interdisciplinary plan of care to meet the age specific needs of patients.

3. Establishes and applies problem-solving skills. Conducts all aspects of supervision in a firm, fair and consistent manner. Continually evaluates the morale of staff and takes appropriate action to resolve problems. Creates an efficient and effective team environment in the workplace.

4. Plans for and implements changes as needed to ensure smooth day-to-day routine business operations.

5. Applies effective conflict resolution skills and works with staff to resolve interpersonal conflicts.

6. Consistently applies effective teambuilding and leadership skills.

7. Ensures timely, ongoing, open and honest communication with administration, physicians, employees and patients.

8. Maintain effective working relationships with other Faith Regional departments, vendors, employees, other managers and physicians.

9. Attend regular meetings and educational programs to maintain clinic operational skills and facilitate ongoing improvements within all areas of responsibility.

10. Ability to perform all duties under high-pressure situations and maintain a positive mental attitude.

11. Ability to organize and operate the routine operations of assigned physician clinics.

12. Plan, assign and evaluate the work of employees to ensure sufficient flow of work. Ensure appropriate staffing levels at all times for efficient clinic operations.

13. Assist in the development and revision of physician clinic policies and procedures.

14. Hire, train, supervise and evaluate employees in a timely and effective manner.

15. Demonstrate and utilize efficient organizational skills.

16. Conduct regular (at least monthly) clinic meetings and ensure timely communication of information to all staff members.

17. Follow and ensure staff compliance with policies, procedures and all applicable laws and regulations (e.g. HIPPA, corporate compliance, safety, etc.)

18. Prepare and approve payroll for department staff members.

19. Ensure adequate and current inventories of clinical and office supplies.

20. Monitor and supervise preventative maintenance schedules and/or controls for medical office equipment.

21. Ensure that appropriate coding, charging, dictation and record maintenance occur in a timely and efficient manner.

22. Demonstrate knowledge of insurance payer practices and facilitate effective communication with insurance companies.

23. Provide input into the annual budget process for the clinics supervised.

25. Provide ongoing communication to physicians and staff members regarding appropriate practices such as timelines of dictation, appropriate charging, etc.

26. Ensure maintenance of the interior and exterior appearance of clinic facilities.

27. Consistently demonstrate excellent customer service skills at all times and facilitates excellent customer service skills in all staff members.

28. Demonstrate appropriate computer skills necessary to maintain effective and efficient clinic operations.

29. Demonstrates the ability to learn, utilize and supervise the use of electronic medical record (EMR) systems for efficient clinic operations.

30. Assist with and promote performance improvement within all areas of responsibility and on an organization-wide basis.

31. Identify suggestions for improving services, working relationships and the work environment through appropriate channels.

32. Consistently work in a cooperative and proactive manner with others to facilitate resolution of identified opportunities for process improvement.

33. Proactively identify areas for improvement within the physician clinic and on an organization-wide basis.

34. Accountable for keeping the Faith Regional Physician Services Chief Operating Officer and/or Practice Administrator informed of all critical issues and progress made in process improvement activities.

35. Accountable for providing regular performance progress reports to the Practice Director.

36. Consistently provide follow-through and accountability for process improvement activities within assigned physician clinics.


Hours will be dependent on patient census and workload. Ability and willingness to work a flexible schedule, to include after-hours and weekends as necessary.

EDUCATION:

Associate Degree preferred.

Previous Experience Requirements:

EXPERIENCE: 

Previous clinical and/or management experience preferred.

Previous experience in a business-related field required.

Combination of two years of education and experience in position field required.

Skills/Knowledge Requirements:

SKILLS:

Language Skills – Ability to read, write, speak, and understand the English language required.

Computer Skills – Ability to use computers and related technology efficiently required.
