The University of Miami Health System, "UHealth", Department of Pediatrics Hemophilia Treatment Center has an exciting opportunity for a Full-Time Clinical Business Operations Representative 1 to work in Miami.
The Clinical Business Operations Representative 1 facilitates the prompt resolution of problems related to daily clinical operations. The incumbent performs general administrative and receptionist functions, to include answering incoming calls, efficient management of patients’ needs, and the acquisition of necessary patient care and records, when necessary. The Clinical Business Operations Representative 1 assists patients in a courteous, efficient and professional manner and ensures adherence to divisional and departmental service standards. The role provides administrative and logistical support including meeting arrangements, progress tracking, and documentation.
Core Responsibilities:
+ Assists the department in managing expectations surrounding patient care.
+ Answers multiple telephones for the department: triage incoming calls, responds to questions, directs calls, and documents messages in the appropriate software.
+ Greets visitors and callers, handles their inquiries, and directs them to the appropriate employee according to their needs.
+ Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.
+ Provides coverage for responsibilities of co-workers when assigned or as need arises.
+ Develops and promotes the use of effective methods of communicating with physicians, managers, peers, trainees, and staff on a regular basis.
+ Creates and maintains comprehensive project documentation, plans and reports.
+ Ensures all needed documentation is current and properly filed and stored.
+ Maintains confidentiality of all information.
+ Organizes, attends and participates in projects meetings.
+ Records minutes and takes detailed notes during meetings.
+ Adheres to University and unit-level policies and procedures and safeguards University assets.
Department Specific Functions:
+ Primary responsibility for administrative tasks associated with the University’s Hemophilia Treatment Center.
+ Maintains confidentiality of patient information.
+ Receives telephone calls and responds to inquiries from patients and visitors When required, assists in verifying insurance of patients prior to the scheduled appointment, including self-paid patients.
+ Maintains accurate clinical records, per department policy.
+ Responsible for ensuring that documents are scanned into the patient’s electronic medical record Ordering unit supplies to maintain inventory of the unit’s equipment stock and supplies.
+ Reports unusual incidents in a timely manner to appropriate supervisory personnel Assist all day-by-day needs of faculty, and HTC staff.
+ Adheres to University and unit-level policies and procedures and safeguards University assets Pick up, sort, and deliver mail to all members in the division.
+ Provide the faculty with Medical Records that are delivered to the office.
+ Contact facilities for any repairs and services needed in the division office.
+ Contact Printer company, UChart, IT, and any other support needed to properly run the University’s Hemophilia Treatment Center.
+ Cross cover other division employees in their absence.

CORE QUALIFICATIONS:
+ High school diploma or equivalent
+ One year of relevant experience
+ Skill in data entry with minimal errors.
+ Ability to communicate effectively in both oral and written form.
+ Ability to work evenings, nights, and weekends as necessary.
+ Skill in collecting, organizing and analyzing data.
+ Ability to work independently and/or in a collaborative environment.
+ Ability to maintain effective interpersonal relationships.
+ Ability to accurately prepare and maintain records, files, reports and correspondence.
+ Ability to understand and follow instructions.
+ Skill in completing assignments accurately and with attention to detail.
+ Ability to manage a budget and work within the constraints of that budget.
+ Ability to process and handle confidential information with discretion.
+ Proficiency in computer software (i.e. Microsoft Office).
