The University of Miami Health System has an exciting opportunity for a full-time Clinical Program Coordinator to work at the UM Hospital & Clinics in Miami. The incumbent assists in the development, organization, production, and evaluation of a variety of health promotion and educational program offerings for patients in the assigned unit. Moreover, this employee provides general oversight to daily program activities in support of the University’s mission

CORE JOB FUNCTIONS                                                                                                     

Evaluates program effectiveness, analyzes results, and recommends appropriate action.

Coordinates program activities with other program, department or staff activities, ensuring optimum efficiency.

Trains, develops, and empowers staff to effectively perform their jobs.

Acts as a main point of contact for project funders, advisors, speakers, and participants, and recruits program participants, members, and volunteers.

Develops cooperative relationships with patients and families by projecting a positive image and creating a professional atmosphere.

Develops program communications and promotional literature for distribution, including newsletters, brochures, and flyers.

Prepares periodic reports, financial statements, and records for management or outside agencies.

Maintains patient confidentiality as well as the confidentiality of hospital business information.

Oversees the maintenance of established supply levels in unit and supply rooms.

Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Functions

The Clinical Program Coordinator is responsible for monitoring the imaging dashboards, which tracks the status of imaging studies and reports. This includes reviewing the dashboard for potential problems, such as delays in reporting, expediting STAT cases, and communicating with radiologists and other healthcare providers to ensure that imaging studies are processed and reported in a timely manner.

In addition, the coordinator will assist in monitoring the performance of artificial intelligence (AI) algorithms used in the radiology department to generate preliminary imaging results. This includes reviewing AI-generated reports for accuracy and completeness, identifying any potential errors, and communicating with radiologists, technologists, referring physicians, and other healthcare providers to ensure that AI is being used safely and effectively to coordinate care and convey results to patients.

The Clinical Program Coordinator will also work with the radiology team to develop and implement policies and procedures for the use of AI in radiology and the overall imaging dashboards and provide general oversight to daily program activities in support of the University's mission.

Provides support to the clinical operation for the Radiology Department (8 Divisions)

Put in tickets for UM workstation down

Assist with expediting Imaging interpretation requests from patients and ordering providers (e.g. STAT inpatients and outpatients, requests for expediting reads) –PowerBI and Epic

Run pending imaging reports for inpatients & outpatients for all UM facilities

Identify encounters with errors (missing images)

Report studies with errors to the PACS team

Run pending study report/upcoming appointment report to expedite interpretation –access to Power BI report

Send pending study reports to VC, Clinical operations & Division Directors (status 48 hours/96 hours)

Answers and monitors incoming phone calls and emails related to clinical studies (other department request)

Manages Departmental Clinical email account (new)---need a generic response divide by time and everyone works on all overnight emails

Protects sensitive patient medical records through the strict following of the Health Insurance Portability and Accountability Act (HIPAA) protocols

Facilitates any request from Radiology faculty to place tickets with PACS team

Link studies

Merging of Duplicate Medical Records

Process requests for second opinion (Neuro, MSK, Nucs, Body, Chest, Pedi) case by case

Communicate second opinions requests to division directors/ associate division directors

Email confirmation of second opinion request to Film Library staff with details of the radiologist assigned to read the study

Utilize Qgenda Schedules to direct calls to radiologists as needed for clinical matters

Get number, name of patient, MRN and get back to the faculty

Assist Radiologist with contacting ordering providers for peer-to-peer consultations (internal and external referring physician)

Develops cooperative relationships with patients and families by projecting a positive image and creating a professional atmosphere.

Adheres to University and unit-level policies and procedures and safeguards University assets.

Maintains Research Data Bases (may depend on specialty)

Identify cases for Research Projects (may depend on specialty) 

Complete all additional duties as assigned in a timely fashion.

CORE QUALIFICATIONS                                                                                                    

Education:

Bachelor’s degree in relevant field

Experience:

Minimum 2 years of relevant experience

Knowledge, Skills and Attitudes:

Ability to communicate effectively in both oral and written form.

Ability to handle difficult and stressful situations with professional composure.

Ability to maintain effective interpersonal relationships.

Ability to understand and follow instructions.

Strong analytical and problem-solving skills.

Experience with AI in radiology (preferred).

Ability to work independently and as part of a team.
