The University of Miami Health System Department of Radiology Administration has an exciting opportunity for a full time Clinical Program Coordinator to work at Desai Sethi Medical Center in Miami. The incumbent assists in the development, organization, production, and evaluation of a variety of health promotion and educational program offerings for patients in the assigned unit. Moreover, this employee provides general oversight to daily program activities in support of the University’s mission
CORE JOB FUNCTIONS
Evaluates program effectiveness, analyzes results, and recommends appropriate action.
Coordinates program activities with other program, department or staff activities, ensuring optimum efficiency.
Trains, develops, and empowers staff to effectively perform their jobs.
Acts as a main point of contact for project funders, advisors, speakers, and participants, and recruits program participants, members, and volunteers.
Develops cooperative relationships with patients and families by projecting a positive image and creating a professional atmosphere.
Develops program communications and promotional literature for distribution, including newsletters, brochures, and flyers.
Prepares periodic reports, financial statements, and records for management or outside agencies.
Maintains patient confidentiality as well as the confidentiality of hospital business information.
Oversees the maintenance of established supply levels in unit and supply rooms.
Adheres to University and unit-level policies and procedures and safeguards University assets.
DEPARTMENT SPECIFIC FUNCTIONS
The Clinical Program Coordinator plays a critical role in the Radiology Department, overseeing the imaging dashboards, monitoring AI algorithm performance, and supporting various clinical operations. This individual is responsible for ensuring the efficient processing and reporting of imaging studies, collaborating with healthcare providers, and contributing to the safe and effective use of artificial intelligence (AI) in radiology. The Clinical Program Coordinator will also work with the radiology team to develop and implement policies and procedures for the use of AI in radiology and the overall imaging dashboards and provide general oversight to daily program activities in support of the University's mission.
Protect sensitive patient medical records by strictly following HIPAA protocols.
Monitor imaging dashboards to track the status of imaging studies and run pending reports (include draft status, pending signatures).
Contact film library for missing images
Identify and address potential issues, such as delays and expedite STAT cases.
Communicate effectively with radiologists and healthcare providers to ensure timely reporting.
Update Productivity log daily
Log individual daily task –submit weekly to Team Lead
Update exam by division log as needed
Create reports for leadership based on requests
Follow up/act upon pending imaging reports for inpatients and outpatients across all UM facilities. Facilitate prioritization request, e.g. STAT/VIP, patient at clinic. CT Lung Screening & Calcium Scoring
Merging of folders IT ticket as requested by Faculty
Second Opinions—Create accession # (daily)
Asking for reports to be finalized
Addendum to a report
Run 90 days report for all pending studies for leadership (M W F)
Run Mammo Pending list for past 6 years (monthly)
Run OBS report twice daily and ensure reports are finalized (am and pm)
Other critical findings and workflow
Run caselogs for Residents and Fellows from MPower
Utilize QGenda Schedules to direct calls to radiologists for clinical matters.
Assist radiologist by contacting ordering providers for peer-to-peer consultations.
Assist in monitoring AI algorithms used in the radiology department.
Review AI-generated reports for accuracy and completeness.
Collaborate with radiologists, technologists, and referring physicians to ensure safe and effective AI utilization.
Work with the radiology team to develop and implement policies for AI use and imaging dashboards.
Provide general oversight of daily program activities in alignment with the University's mission.
Provide support for AIDOC, OBS, OCC, STAT/VIP reads, PCAF, via Haiku/Physician direct
Provide support to the clinical operation for the Radiology Department, covering 8 divisions with a total of 100 faculty.
Monitor dashboards and review radiology reports for accuracy, including those for AIDOC and PCAF.
Provide Saturday coverage for all Clinical Coordinators.
Input tickets for UM workstations across all sites.
Assist with expediting imaging interpretation requests, particularly STAT cases using PACS, PowerScribe and Epic.
Answer and monitor incoming phone calls and emails related to clinical studies.
Manage the Departmental Clinical email account, ensuring timely and accurate responses.
Message Faculty using Haiku
Responsible for opening UM IT/PACS tickets for the Department
Combine MRNs when duplicated
Replace reports back into filter when deleted
Merge of filters at Radiologist request
Maintain research databases (if applicable).
Identify cases for research projects (if applicable).
Require access and training on relevant systems and dashboards, including PowerScribe, Epic/UChart, Haiku, QGenda, AIDOC, mPower, PACS, PCAF, Team Play by Siemens, Performance Bridge by Philips in addition to new applications as they are added to the Organization.
Adhere to University and unit-level policies and procedures, safeguarding University assets.
Complete all additional duties as assigned in a timely fashion.
